I am trying to print X-mas card envelopes using Microsoft mail merge.  I am trying to print the envelopes, about 20 at a time, but the printer keeps trying to pull them from the photo tray.  The envelopes are about 5 x 7" and this is the HP-7850 printer.  Please tell me the sequence to setting this printer so the envelopes get pulled from the main tray.  Thanks

Preparation

 

If you are using a "Mail merge" method that tries to print both letter and envelope at the same time, the printer would necessarily be forced to use whatever secondary try is available.

 

If you are using Word > Mailings > Envelopes,

it is expected that you have also installed the Full Feature Software.

(Ask if you need help with installing printer software.)

 

True

"About" 5x7 envelope does need to be printed in the main tray.

Why?  The photo tray supports the 5x7 inch size -- it does not support a plain paper media type.

 

Side Note

The envelope size will likely need to be defined more accurately than "about".  Note that this comment is not meant to critique your description of the issue -- the comment is an observation to remind you that when you are setting up the job, the paper size dimensions should be accurate.

 

Will this work?

Maybe -- it depends on

  • Whether you can convince the printer that it supports the paper size
  • Whether the envelope is suitable in other ways (for example, not too thick, not oddly colored, edges not scalloped)

Considerations

 

After the envelopes are loaded into the printer, alert the printer to the paper size / type - Tray and Paper Management

 

Possible Complication / Caveat

This printer does not include size "Custom" when selecting Paper Size & Type on the printer control panel or using EWS. 

 

If the envelope is other than the supported paper size 5x7 inches (or another supported paper size in the list),

Lacking the "Custom" size in the List of paper sizes might mean that the printer will not recognize the "not standard" size.

 

After the paper is loaded, alert the printer to the paper size & type.

 

If supported, and / or you dislike typing on tiny printer display panel,

(then)

Use the Embedded Web Server (EWS) to adjust (edit) / check the Paper Size & Type

Open your favorite browser > type / enter Printer IP address into URL / Address bar

Tab Settings > Preferences > Tray and Paper Management

If necessary, create a Custom Paper Size Form for your envelope

Envelope Setup

 

  • If, during setup in Word > Mailings > Envelopes, the envelope size does not show up in the list of envelope sizes, create the envelope as a "Custom Size" and enter the dimensions.

What else?

If all else fails,

Create your "envelope" as a (Word) document in the size and shape of your envelope.

Assuming the full feature software is installed, print your "document".

 

NOTE:  

WordPad, Publisher, HP Smart can also print envelope size documents. 

The effort required to produce the document and the results vary.
