Hi @Tari12,

Welcome to HP Support Community.

Thank you for posting your query, I will be glad to help you.

If your HP Color LaserJet M479’s email functionality is set up correctly but you’re not receiving scanned documents, there are several potential issues to check. Here’s a systematic approach to troubleshoot and resolve the issue:

1. Verify Email Settings

SMTP Server Settings: Double-check the SMTP server settings you configured in the printer’s web interface. Ensure that the SMTP server address, port number, and authentication credentials are correct.

Email Address Configuration: Confirm that the sender email address you’ve set up in the printer’s settings is correctly formatted and that it’s an email address that can send emails (e.g., no typos or incorrect domains).

2. Check Spam/Junk Folder

  • Spam/Junk Mail: Sometimes, emails from a printer might end up in your spam or junk folder. Check these folders in your email account to see if the scanned documents are there.

3. Review Email Quotas and Limits

Email Quota: Ensure that your email account has not exceeded its storage quota. Full inboxes or quotas can prevent new emails from being delivered.

Email Size Limits: Check if there are size limits for attachments imposed by your email service provider. If the scanned document exceeds the limit, it might not be delivered.

4. Check Printer Logs and Status

Printer Logs: Access the printer’s web interface and review the email logs or status reports to see if there are any errors or issues reported when sending emails.

Status Reports: Look for any status or error messages related to email sending in the printer’s logs.

5. Test with Different Email Addresses

  • Alternative Email: Try sending the scanned document to a different email address to see if the issue is specific to the email account you are using.

6. Network Configuration

Firewall and Security: Ensure that any firewall or security software on your network is not blocking the printer’s email function. The printer needs to be able to communicate with the SMTP server over the network.

Network Connection: Verify that the printer is properly connected to the network and can access the internet.

7. Firmware Update

  • Update Firmware: Check if there’s a firmware update available for your HP Color LaserJet M479. Sometimes, updating the firmware can resolve issues with email functionality.

8. Verify Sender and Recipient Addresses

  • Correct Addresses: Ensure that both the sender email address configured in the printer and the recipient email address are correct. Mistyped addresses can result in undelivered emails.

9. SMTP Authentication

  • Authentication: Confirm that the SMTP authentication settings are correctly configured. Some email providers require additional authentication steps.

I hope this helps.

Take care and have a good day.
