Sharing a printer with your staff can significantly enhance productivity and streamline printing tasks. The method for sharing a printer depends on your setup—whether you are using a network printer, a locally connected printer, or a printer connected via Wi-Fi. Here’s a detailed guide on how to share a printer with others:

1. Share a Printer on a Windows Computer

  • Confirm that the printer is connected to your network either via Ethernet or Wi-Fi.Install the printer’s drivers and software on a Windows computer that will act as the host.
  • Go to Settings > Devices > Printers & Scanners.Select your printer from the list and click Manage.
  • Click Printer Properties.Go to the Sharing tab and check the box Share this printer.
  • Optionally, give the printer a share name that will be recognizable to others.On other computers, go to Settings > Devices > Printers & Scanners.Click Add a printer or scanner.
  • Windows should detect the shared printer automatically. Select it and follow the prompts to install it.
  • Connect the printer to the computer via USB or another local connection.
  • Follow the same steps as for sharing a network printer (see above).
  • Use the steps provided for accessing a shared network printer.

2. Share a Printer on a macOS Computer

  • Connect the printer to your Mac or ensure it is on the same network if it’s a network printer.
  • Go to System Preferences > Printers & Scanners.
  • Select the printer you want to share from the list on the left.
  • Check the box labeled Share this printer on the network.:
  • On other Macs, go to System Preferences > Printers & Scanners.
  • Click the + button to add a printer.
  • The shared printer should appear in the list. Select it and follow the prompts to install it.

3. Share a Printer on a Network (via Router)

  • For printers with network capability, connect the printer directly to the router using an Ethernet cable or configure it for Wi-Fi.
  • Access the printer’s web interface using its IP address (found on the printer’s display or network settings).
  • Set up the printer for network sharing if required.
  • On each device that needs to access the printer, add the printer using the IP address or network name.

4. Share a Printer Using Google Cloud Print (Deprecated)

(Note: Google Cloud Print was deprecated in December 2020. If you are using this method, you will need to switch to an alternative.)

5. Share a Printer Using Printer Server Software

  • Install and configure printer server software on a dedicated computer to manage print jobs and share the printer with multiple users.
  • Set up permissions and user access through the printer server software interface.

6. Troubleshooting

  • Ensure that user accounts have permission to access and print to the shared printer.
  • Confirm that all devices are properly connected to the network and can communicate with the host computer or printer server
  • Ensure that all devices have the latest printer drivers installed.
