Hi @chevela,

Welcome to HP Support Community.

Thank you for posting your query, I will be glad to help you.

If your HP DeskJet 2540 All-in-One Printer is in "error mode" and not printing from the computer but can still make copies, the issue is likely related to the connection or communication between your computer and the printer. Here's a step-by-step guide to resolve the issue.

Check the Printer Status

  • Confirm Printer is Online: Open the "Devices and Printers" menu on your computer (Control Panel > Devices and Printers). Right-click your printer and make sure it is set as "Default Printer" and not "Offline."
  • Clear Pending Jobs: Right-click your printer and select See what's printing. Cancel any pending or stuck print jobs.

Verify Connection

  • USB Connection: If connected via USB, try using a different USB port on your computer or replacing the cable.
  • Wi-Fi Connection: If using Wi-Fi, ensure the printer and computer are on the same network. Reconnect the printer to the Wi-Fi network if needed.
    • Press the Wireless button and the Start Copy Black button simultaneously to print the network configuration page, and check the connection status.

Update Printer Drivers

Outdated or corrupted drivers can cause communication problems.

  • Go to the HP Support website and search for the DeskJet 2540 printer.
  • Download and install the latest drivers for your operating system.
  • Alternatively, use the HP Smart App to detect and update your printer's drivers.

Run the HP Print and Scan Doctor

  • Download and install the HP Print and Scan Doctor from the HP Support page.
  • Open the tool and let it detect your printer. Follow the steps to fix any issues.

Reinstall the Printer

  1. Remove the Printer:
    • Go to Control Panel > Devices and Printers.
    • Right-click on your printer and select Remove Device.
  2. Re-add the Printer:
    • Reconnect your printer via USB or Wi-Fi.
    • Follow the prompts to reinstall it.

Reset the Printer

  1. Turn off the printer and unplug it from the power source.
  2. Wait for 1-2 minutes.
  3. Plug the printer back in and turn it on.

Check for System-Specific Issues

If none of the above steps work:

  • Windows: Run the Windows Printer Troubleshooter:
    • Go to Settings > Update & Security > Troubleshoot > Additional Troubleshooters and select Printer.
  • Mac: Reset the printer system:
    • Go to System Preferences > Printers & Scanners, right-click in the list of printers, and select Reset Printing System.

I hope this helps.

Take care and have a good day.
