Hi

HP Envy 7640.
Scanning to email used to work without issues.

Now I continuously get a screen that says "Server Connection Error".  This can happen at several different steps in the scan sequence.  When the error occurs there is an option to 'Retry', selecting this repeatedly the scan eventually is completed and the document is emailed to the recipient.  Selecting 'No' to further scans results i the printer hanging with busy circle.

I have tried many of the posted fixes, non resolve the problem.

I updated the software with HP Smart.

It is strange that by repeatedly retrying the scan eventually completes and the email is sent.

 

Does anyone know how to resolve this problem?

It seems like you're encountering a persistent issue with your HP Envy 7640 printer when scanning to email, specifically getting a "Server Connection Error" message. Here are some steps you can take to troubleshoot and potentially resolve this problem.

 

  • Check Internet Connection: Ensure that your printer is properly connected to the internet. A stable internet connection is necessary for scanning to email. You can do this by printing a network configuration report from the printer's control panel.
  • Update Firmware: Make sure that your printer's firmware is up to date. Sometimes, outdated firmware can cause connectivity issues. You can check for firmware updates through the printer's settings menu or by visiting HP's support website.
  • Restart Printer: Try restarting your printer by turning it off, unplugging it from the power source, waiting for a few minutes, and then plugging it back in and turning it on again. This can sometimes resolve temporary glitches.
  • Check Email Settings: Verify that the email settings configured on your printer are correct. Ensure that the email server settings, including the SMTP server address, port number, and authentication credentials (if required), are accurate.
  • Security Software: Sometimes, security software or firewalls on your network can interfere with the communication between the printer and the email server. Temporarily disable any firewall or security software on your network and see if the issue persists.
  • Factory Reset: As a last resort, you can try performing a factory reset on your printer. This will restore the printer to its default settings, which might help resolve any configuration issues causing the connection error. However, note that this will also erase any custom settings you've configured on the printer.

Hi Alden4,

Thank you for the reply to my question and your solution suggestions.  I will address each one below.

The printer is HP ENVY 7640, serial number TH4BD251DF063T (when the serial number is requested on the HP support site the 063T must be dropped from the end for this to be accepted).  The product number is E4W43A

  • Check Internet Connection: I looked at the network configuration report from the printer's control panel.  This does not appear to be the problem.  My printer is very close (~1 foot) from the WiFi router.
  • Update Firmware:  Using the HP Smart software (that has been removed and re-installed a couple of times) I can see that the firmware version is NDM5CN2022AR, when looking at the HP support site the 'latest' firmware is listed as 2022A.  I assume this is the same version?
  • Restart Printer: I have restarted the printer several times, including waiting for a couple minutes to restart.
  • Check Email Settings: This is interesting.  From HP Smart you can select 'Advanced Settings', this basically opens a direct connection to the 'Embedded Web Server' in the printer (this can also be accessed by typing the IP address on a browser).  This shows all the configurations in the printer.  This has many menu's but NOWHERE is there any facility to configure the email server settings, SMTP server address, port number, or authentication credentials - the printer DOES NOT have this information. (I don't understand how this can work without this information?!)
    Also I cannot find any reference to SCAN to email.  However SCAN to email is an option on the physical printers control panel, basically it requests an email address and then sends an email to that address with a PIN number that must be entered into the printer.  This is ALL successful, there is never a connection error, the email is always successfully received (I have done this multiple times).
  • Security Software: I am using the default Microsoft firewall.  I disabled this as a test.
  • Factory Reset: I did a factory reset and then reconfigured.

So the SCAN to email still doesn't work.  I always get the 'Server Connection Error'.
It's strange as this has been working for a long time (years).  Could this be a Microsoft update?  They are always pushing Windows updates.
It was suggested to me that this could be a IP address problem, intermittently not being valid??  I don't really understand how this could be the problem.

This actually seems like quite a common problem, there are many questions about this.  I don't see any specific solution, apart from 're-install' which does not work for me.

Any other suggestions??
