Hello 😬,

 

I only have a small problem this time.

 

I set up HP Digital Fax and it worked right away. Both sending and receiving works fine. However, even with digital faxes, I need a transmission report on the successful sending of the fax. However, I do not receive this, but only when I send a fax directly from the printer. I've checked all the settings and can't find anything. Does anyone know what the problem is? Or is a transmission report not possible with digital fax? I would like to have this like incoming fax also by mail, so that I can easily save it verifiably.

 

I am grateful for any suggestion. Thank you in advance for your help! 🤝

Apologies for jumping in unannounced.

You might not be able to have what you want using the tools that are available in the Digital Fax setup as described in the User Guide.

 

Fax to Network Folder AND Fax to Email are both relatively limited in scope.

For example > Fax to Network Folder:  Color faxes will print -- destination must be on and available.

 

You might get closer by engaging the Digital Fax to Email option.

How?

Create / Test a Digital Fax to Email destination Profile that works.

 

Side Bar >>> Beware of the possible need for an App Password for an email address provider that requires 2-Step Verification).

 

Email address that is used for Fax AND other mail

 

At the Fax email destination email,

Check for any unique sender information that can be used to filter the incoming fax email.

If you can find a way to distinguish incoming Faxes,

Filter those emails as "From this sender" and use "Forward" to send a copy of the Fax to yet another email address.

OR

If your mail server / mail provider is sophisticated enough (or you have a programmer on call), watch for and filter the incoming faxes - create a separate email / message that confirms receipt and send the receipt to another email address.

 

If you have the aforementioned programmer, ask that the task / program include received fax emails also be sent to a network folder.

 

OR

Look for a Fax Service that does what you want.  The idea "to have it all" is not new -- there might be an "app for that" or a paid Fax service that can do what you want.

I think there is a misunderstanding.

 

I have set up the device. It works both as a traditional fax and as a digital fax. I receive incoming faxes by e-mail. When I send something from the device, a report is printed. This is probably the 'Fax confirmation report'. If I send something from the computer via Word > printer/fax, then that also works, but I don't get such a report.However, I need this confirmation as legally secure proof that I have sent the respective document. But there doesn't seem to be a suitable setting for this?

Ah - OK.

 

I believe the mechanism for generating confirmation reports of the type you describe is limited to the fax itself.

 

That means that if you fax from the printer control panel, then those controls you find in the FAX Settings are available.

 

When you use the computer to access the Fax, you are using the rules and settings available to the printer software.

 

I am not aware of a pre-written app or batch file to track the information you want to save.

Might be one...  ?

 

You can "get close" using some manual tools in Windows.

There may not be a legal trail method using the computer.

What you can do depends on the requirement and what is acceptable as "proof".

 

There is a way to preserve the evidence of what you are doing.

Admittedly, the method is a series of manual steps.

The examples do not include saving or managing the log files.

 

Read and decide...

 

Basics

 

Set the Windows Print Queue to "Keep printed documents"

Set up the Event viewer to enable the Windows Print Service log

Run the Fax job

During the Fax job execution,

Capture / Snip the windows that display showing the "Sent" part of the job.

After the job is completed,

Check the Event Viewer log, save the log content you want to keep.

Print Queue Management - Set up "Save a print job to reprint later"

 

The "reprint" feature must be set ahead of time to "Keep printed documents".  (The feature is not switched on by default.)

 

This method requires that the user base (those people submitting print jobs) do not sabotage the print queue by removing entries -- this is a matter determined by Policy in your home office / workplace.  (In other words, you must have a modicum of control over what people are doing).

 

 

Save jobs to be reprinted later

 

The following applies to recent versions of Windows and a printer for which the Full Feature Software / Full Solution Software has been installed.

 

 Windows 10

Control Panel > icon view > Devices and Printers 

Right-Click on your Printer > Printer Properties

(If necessary) Change Properties

Tab Advanced

Select Keep printed documents > Apply > OK

 

Windows 11

Settings > Bluetooth & devices > Printers & scanners > Select Printer >

Printer Properties > Tab Advanced

Select Keep printed documents > Apply > OK

 

Next,

When jobs are saved in the queue, they can be printed again later.

 

Windows 10

Control Panel > icon view > Devices and Printers 

Double-Click on your Printer

Double-Click on See What's Printing

Settings > Bluetooth & devices > Printers & scanners > Select Printer >

Open Print Queue

Run your Fax job

Part way through the job, Snip / Save the bits you want to preserve.

Open the Event Viewer and check the logs for the job details.
