I understand how disappointing it feels when the scanner doesn’t respond on a new desktop, especially after setting everything up. Thank you for already connecting your HP ENVY 5540 to the new system—that’s an important first step. 

 

Let’s go through a clear set of actions to bring the scanning function back:

 

Confirm Printer Connection

  • Make sure the printer is powered on and connected to your desktop either via USB or Wi-Fi.
  • If using USB, try a different port and cable.
  • If using Wi-Fi, ensure both printer and desktop are on the same network.

 

Install the HP App

  • On your Windows desktop, download and install the HP App.
  • Once installed, open the app and add your HP ENVY 5540.

 

Run Diagnose & Fix

  • In the HP App, select your printer.
  • Go to “Printer Settings” and choose “Diagnose & Fix.”
  • Allow the tool to check for driver, connectivity, and scanning issues.

 

Check Windows Settings

  • On your desktop, go to Settings > Devices > Printers & scanners.
  • Ensure your HP ENVY 5540 is listed. If not, click “Add a printer or scanner” and follow the prompts.
  • Once added, right-click the printer and confirm that “Scan” options are available.

 

Test Scanning from HP App

  • Open the HP App, select your printer, and choose “Scan.”
  • Place a document on the scanner glass and try a test scan.
  • Save the file to confirm the workflow is complete.

 

Update Printer Firmware

  • On the printer’s control panel, navigate to Setup > Printer Maintenance > Update Printer.
  • This ensures compatibility with the new desktop.

 

By following these steps, you should hear the gentle whir of the scanner head moving across the glass and see your document appear on the desktop screen.
