I understand your Scan to Email is not working and you need it fixed quickly because you use it every day. Let’s go through a few steps to check what could be causing this.
Check the printer’s Internet connection
On the printer’s control panel, open Wireless / Network Summary.
Make sure it shows “Connected” with strong signal bars.
Verify the email setup in the printer’s Embedded Web Server (EWS)
On your computer, type the printer’s IP address into a browser.
Go to Scan → Scan to Email Setup and confirm:
– Your email address is entered correctly
– SMTP server, port, and security settings match your email provider.
Update SMTP settings if using Gmail, Outlook, or Yahoo
Many email providers changed security policies:
– Gmail: SMTP = smtp.gmail.com, Port 587, TLS required. Enable App Password if using 2FA.
– Outlook/Hotmail: smtp.office365.com, Port 587, STARTTLS.
– Yahoo: smtp.mail.yahoo.com, Port 465 or 587, SSL/TLS.
Check for “Authentication Failed” or “Server Not Found” errors
If your printer shows an error, update username + password.
Email login changes will break Scan to Email until updated.
Run “Test Email” inside Scan to Email setup
In the EWS, press Test on your existing email profile.
If it fails, it will give a reason (invalid login, blocked port, SSL issue, etc.).
Turn off IPv6 on the printer
In the EWS → Network → Advanced Settings, disable IPv6.
Some networks block email servers when IPv6 is active.a
