scanner not working - trying to send fax from a scanned document but not able - says scanning unaavailable

I understand how frustrating it feels when you’re trying to send a fax from a scanned document and the printer says “scanning unavailable.” 

 

You’ve already taken the right step by noticing the exact error, so let’s go through a clear set of actions to bring the scanner back and allow faxing to work smoothly.

 

Power reset

  • Turn off the printer.
  • Unplug the power cable from both the printer and wall outlet.
  • Wait at least 60 seconds.
  • Plug the cable back in and power on.
    This clears temporary states that can block the scanner.

 

Check scanner glass and ADF

  • Open the scanner lid and ensure the glass is clean and free of dust or smudges.
  • If your printer has an Automatic Document Feeder (ADF), check for any stuck paper or debris.
  • Place a single sheet on the glass and test scanning.

 

Run scanner test from control panel

  • On the printer’s control panel, go to Setup → Tools → Scanner Test (if available).
  • This confirms whether the scanner hardware responds.

 

Update firmware

 

Check fax setup

  • Ensure the telephone line is firmly connected to the printer’s LINE port.
  • Run the fax setup wizard from the control panel to confirm the line is detected.
  • Try sending a fax using a document placed directly on the scanner glass.

 

Re‑add printer in HP App

  • Open the HP App on your Windows computer.
  • Remove the existing printer entry.
  • Select Add Printer and allow the app to detect the printer again.
  • Test scanning from the app to confirm functionality.

 

Windows scan test

  • On your computer, go to Settings → Devices → Printers & scanners.
  • Select your printer → Manage → Scan a document or picture.
  • If scanning works here, faxing from a scanned document should also succeed.

 

By resetting power, checking the scanner hardware, updating firmware, and refreshing the printer in the HP App, the scanner should become available again and allow you to send faxes from scanned documents.
