Printer Keeps telling me that my username or password is incorrect.  I can log into **bleep** with no issues.  I have port 587 and tls setup in outbound profile.

💡 Why This Happens

Even if your username and password are correct, email providers like Gmail, Yahoo, or Outlook often block access from devices they consider "less secure", like printers, unless specific settings are enabled.
 

1. Enable App-Specific Passwords (if using 2-step verification)

If your email account has two-step verification enabled, you must generate an app-specific password for the printer to use.

  • Gmail: Create an App Password
  • Yahoo: Generate App Password
  • Outlook/Hotmail: Create App Password


2. Allow Less Secure Apps (if applicable)

Some providers require you to explicitly allow access from devices like printers.

  • Gmail: Allow Less Secure Apps (only visible if 2FA is off)


3. Correct SMTP Settings

Make sure your printer’s SMTP settings are configured as follows (for Gmail, as an example):

  • SMTP Server: smtp.gmail.com
  • Port: 587
  • Encryption: STARTTLS or TLS
  • Authentication: Enabled
  • Username: Your full email address
  • Password: App-specific password (not your regular one)

You can configure these via the Embedded Web Server (EWS):

  • Open a browser and enter your printer’s IP address.
  • Go to Setup > Email Server.
  • Fill in the SMTP details and test the connection.
