I am trying to scan a document to my email and it prompts me to enter a pin number that i never created.  Please help.

Not sure about the PIN.

 

My Understanding of how Scan-to-Email works on the 8740:

Normally, this printer - because it supports Scan-to-Email menu options and subsequent setup from the printer (or from the Embedded Web Server) - does not need to send you a PIN to authorize use of the ePrint email address.

Scan to Email – Methodology

 

The basic methodology used with "Scan-to-Email" and “ePrint” is (printer) model dependent. 

 

 

Help for Scan to Email Accounts – Printer Control Panel

HP Printers - Scan to Email Cannot Access Email Accounts

 

EWS Scan to Email Setup

 

If the printer is on the network, if the printer supports digital sending direct to email. look for the Scan to Email setup in the Embedded Web Server (EWS).

 

Example – EWS Scan to Email Setup

Open your favorite browser > type / enter Printer IP address into URL / Address bar

Tab Scan > Scan to Email > Scan to Email Setup

 

“Apps” Scan to Email Setup

 

Printers without digital filing, that is, those printers without the ability to connect directly to the smtp server, might use the Scan-to-Email App.    On some printers the Scan to Email App is available on the printer's front panel in "Apps".

 

Web Services (running on the printer) is used to communicate between the printer and the Cloud servers where the email is processed.  For this reason, Web Services must be running on the printer: HP Printers - Turning on Web Services

 

Example – “Apps” Scan to Email Setup

On the printer control panel > Touch Scan > Touch Email

Follow the prompts:  Welcome > Continue > Add your Email address > Done > Continue

Wait for your PIN number to be sent (emailed) to the email address > Open email, read PIN

Touch Continue > PIN > Enter Pin number > Done

 

 

Notes

 

Web Services provides the connection between the printer and the HP Connected / Cloud servers that are used to register and process the email.  For this reason, the HP Cloud Servers must be running and providing service.

 

During Scan-to-Email App registration (setup), an HP cloud server sends (back to the owner) a confirmation email that includes a PIN number.  The PIN is used to verify the owner's email address information.  The PIN is used to prove "I am me".

 

If there is a break in the service (Web Services communication between home network and the Cloud server(s)), the PIN cannot be sent and / or emails dependent on the Cloud servers cannot be processed.

 

NOTE:

If the Cloud Servers are not responding, there is normally no “fix” except to wait it out.

Having admitted that the PIN question does not make sense in context of how I understand the setup on this printer, know that the following may -- or may not -- be helpful or relevant to your situation.

 

 

The Basics

Make sure you have an email program / software installed on your computer.

For example, Install / use Microsoft Outlook (installed version) or Mozilla Thunderbird client.

Email that you access in your Web browser does not count as "installed" email software.

 

 

Set up ePrint

 

HP Printers - Printing with HP ePrint

  • First, switch on Web Services on the printer
  • The "original" ePrint email address prints out on paper.
  • Log into HP Connected - if you do not have an HP Connected Account, create one on the login page
  • Add your printer to HP Connected 

HP Connected Login

Click Flag to switch to your region

 

  • If you like, change the original long, convoluted email address to something you like

 

For example, you might like:  MyFancyEmail@hpeprint.com

 

 

 

Set up Scan-to-Email on your printer

If you like, use the Embedded Web Server (EWS) to set up the Scan-to-Email feature.

 

Using the HP Embedded Web Server (EWS)

 

General Example:

Open your favorite browser > type / enter Printer IP address into URL / Address bar

Tab Scan > Scan to Email
