Good day!

Since last year we are having issue with Scan To Sharepoint. It suddenly stopped working.
I found one information that Microsoft disabled basic authentication in favor of modern authentication. The only solution from HP is to update the firmware.

We updated all our printers to 5.9.2.3 , but it's still not working. 
Is someone having the same problem or is it working for you?

Affected HP printers:
HP Color LaserJet MFP E87750
HP LaserJet Managed X58045dn

The issue is not necessarily a printer hardware fault. Initial analysis indicates the problem may be related to SharePoint connectivity, authentication changes, expired credentials, TLS/certificate requirements, or configuration settings within the Microsoft 365 environment. Further validation of printer logs, firmware levels, SharePoint permissions, and network connectivity is required before attributing the failure to the HP devices themselves.

 

Since you confirmed, and the issue is occurring on both HP devices, the fastest resolution path is:

1. Check the actual error on the printer

On the control panel, attempt a scan and note the exact error:

  • Authentication failed
  • Cannot connect to server
  • SSL/TLS error
  • 401 Unauthorized
  • 403 Forbidden
  • Certificate error

The exact wording is critical because it immediately identifies whether the issue is authentication, permissions, network, or TLS.

2. Verify whether SharePoint is Online or On-Premises

If you're using Microsoft 365 SharePoint Online, many legacy HP Scan-to-SharePoint configurations stop working after security changes because they rely on older authentication methods.

3. Test the SharePoint account manually

Using the same service account configured on the printer:

  1. Sign in to SharePoint via browser.
  2. Navigate to the target document library.
  3. Upload a PDF manually.

If manual upload fails, fix:

  • Password expiration
  • Account lockout
  • MFA requirement
  • Missing Edit/Contribute permissions
