Hi @Sondra70,

Welcome to the HP Support Community!

Thanks for reaching out!

We're thrilled to have the opportunity to assist you and provide a solution.

I understand you want an easy way to set up Microsoft Word to create a clean, formal letter. Let’s go through a few simple steps to get a professional document format ready.

Start a new blank document
Open Microsoft Word and select Blank document.
This gives you a clean page without extra formatting.

Set the page size and margins
Go to Layout > Size and select Letter (or A4 if required).
Then go to Layout > Margins and choose Normal (1 inch on all sides).

Choose a professional font
Go to the Home tab and select a simple font like Times New Roman, Calibri, or Arial.
Set the font size to 11 or 12 for readability.

Set line spacing
On the Home tab, click the Line and Paragraph Spacing button.
Choose 1.15 or 1.5 spacing, and remove extra spacing before or after paragraphs.

Align text to the left
Make sure your text is left-aligned, not justified.
This is standard for most formal letters.

Add your letter structure
At the top, type your address, then press Enter and add the date.
Skip a line, add the recipient’s address, then another line for the greeting.

Format the body of the letter
Press Enter once between paragraphs instead of adding extra blank lines.
Keep paragraphs clear and concise for a professional look.

Add a closing and signature
Leave one line after the last paragraph, then type Sincerely or Kind regards.
Leave space for your signature, then type your name.

Save as a reusable template
Go to File > Save As and choose Word Template (.dotx).
This lets you reuse the same formal format for future documents.

I hope this helps.
