I recently purchased an HP Envy 6120e printer. I have set it up and can print and scan as well as scan to the cloud. In my case, I am scanning to my Google Drive, which is working. The issue I am having is that there are two default settings I'm not able to set. I live in the UK, so I would like the page size to default to A4. Every time I select Scan to Google Drive, it is set to Letter size. The other issue is the colour setting. I would like it set to Greyscale by default. I have also selected EDIT on the printer control panel and changed the setting there, and both always default to Letter and Colour. If I manually change these to A4 and Greyscale via the scanning process, the resulting scan file is correct.

I should not need to change these two settings each time I scan. I did some research, and it was suggested to perform a factory reset and install the latest firmware version, which I did. I also played around with the settings in the EWS by selecting the printer's IP address, but I have had no success.

When I use the HP Smart app to scan to my computer, it works fine, and the settings remain as A4 and Greyscale.

I'm hoping someone can point me in the right direction, as I can't figure out what I'm missing.

Hi @Ben852,

Welcome to the HP Support Community!

Thanks for reaching out!

Hello, thank you for reaching out. I understand you’d like your HP Envy 6120e to default to A4 and grayscale when using Scan to Cloud.

The Scan to Cloud service uses preset defaults managed on HP’s servers, which is why it always reverts to Letter and Color. Local changes on the printer or embedded web server don’t override those cloud defaults.

For consistent results, you can set up a custom shortcut in the HP Smart app linked to Google Drive. This allows you to lock in A4 and grayscale so every scan follows your preferred settings.

Open HP Smart: Launch the app on your computer or mobile device.

Access Shortcuts: Click the Shortcuts tile on the home screen.

Create a New Shortcut:

Set the destination to your Google Drive.

Go to Settings within the shortcut.

Change Paper Size to A4 and Color Mode to Greyscale

Save & Name: Give it a name like "Scan to GDrive (A4/Gray)."

Once saved, this shortcut will appear on your printer's control panel under the Shortcuts menu. When you select it, it will automatically use your pre-saved A4 and grayscale settings every time.

I hope this helps

Take care and have an amazing day ahead! 🚀

Hi Kuroi_Kenshi,

Thank you for your response. I followed the steps you provided to create a shortcut via the HP Smart app.

When I click the Shortcuts tile, I follow these steps:

  • Clicked on "Add shortcut"
  • I clicked on “Create your own shortcut."
  • I turned on “Save your files to your cloud storage.”
  • Signed into my Google Drive.
  • I did not check the box for “Send immediately after image capture. Skip adjustments, editing and preview.”
  • I Selected “Searchable PDF.”
  • I checked the box for “Automatically name files based on the most important, detected information.”
  • For Content language, I selected “English”

There are no options for Page size and colour. I tried over and over in different ways and never found options for Page size and coulor.

I tested the shortcut, and it does save the scanned document to my Google Drive.

Is there anything else I can try?

Thank you,

BEN852

Hi @Kuroi_Kenshi,

Thank you, but that was not what I was asking for. I have no issue scanning from my computer using the HP Smart app.

I have been asking about scanning to the cloud via the printer control panel. If you go back to my previous posts in this thread, you will see that I have been referring to the issue where I'm unable to change the default page size and colour.  I am trying to change the default page size to A4 and the default colour to Greyscale. Even if I use the Edit button and change it there, it doesn't keep my choices. So each time I start a new "Scan to cloud", the options are back to Letter and colour.

Using the EWS in the printer also doesn't have a way to change this.

I'm simply trying to take advantage of the printer features, so I can tap a shortcut and scan directly to my Google Drive.

I hope that makes sense,

Thank you,
