Do I need to download special software to my iMac PC to set up faxing from my OfficeJet pro 9025?

Hi @DavidinNashua

Welcome to the HP Support Community! We're here to help you get back up and running.

Thanks for your thoughtful question. I can imagine how important it is to get faxing up and running smoothly on your HP OfficeJet Pro 9025, especially when working from an iMac.

Let’s walk through this together with clarity and confidence.

Fax Setup Overview for HP OfficeJet Pro 9025 with iMac

The good news is: you don’t need to install any special software on your iMac to send faxes using the printer’s built-in fax features. Faxing is handled directly by the printer hardware, not through the computer.

Here’s how to set it up:

1. Connect the Fax Line

  • Plug one end of a phone cord into the 1-LINE port on the back of the printer.
  • Plug the other end into a working telephone wall jack.
  • If you use a DSL line, you’ll need a DSL filter between the wall jack and the printer.

Tip: Avoid using splitters or surge protectors on the fax line—they can interfere with signal quality.

2. Configure Fax Settings on the Printer

Use the printer’s touchscreen:

  • Tap Fax > Setup > Preferences.
  • Set your Fax Header (your name and fax number).
  • Set Answer Mode (Manual or Automatic).
  • Adjust Rings to Answer and Dial Type (Tone or Pulse) based on your phone line.

3. Send a Fax from the Printer

  • Place the document on the scanner glass or in the ADF (Automatic Document Feeder).
  • Tap Fax on the touchscreen.
  • Enter the recipient’s fax number using the keypad.
  • Press Send.

4. Optional: Use the HP App on iMac

While the printer handles faxing independently, you can use the HP App on your iMac to:

  • Monitor fax status
  • Access fax history
  • Configure fax settings remotely

You can download the HP App for macOS from the Mac App Store.

5. Receiving Faxes

  • Ensure the printer is powered on and connected to the phone line.
  • If Auto Answer is enabled, it will receive faxes automatically.
  • Received faxes are printed and can also be stored digitally if configured.

If you’d like to explore digital faxing (sending faxes via the HP App without a phone line), the OfficeJet Pro 9025 supports HP Digital Fax and Fax to Email features, but these require setup via the printer’s Embedded Web Server (EWS) and a compatible email service.

Would you like help setting up digital faxing or configuring the EWS on your iMac? I’d be happy to guide you through that too.

Let me know if you’d like help configuring the fax header or testing the line. Once the printer is connected and settings are in place, you’ll be able to fax directly from the printer with ease.
