In our small office, 6 of us are all hooked up to the same HP NPI9BEE69 (HP Color LaserJet MFP M283fdw) printer on the same WIFI network but only I have problems printing 50% of the time. When I have problems, either (i) the printer indicates that I should “Load Tray2. Plain, Letter” even though Tray 2 is fully loaded with A4 paper and I have made sure that I’ve selected Tray 2 and A4 paper before printing; or (ii) the printer just doesn’t respond and when I check the Printer Queue status, it just shows that the print job is in the queue but nothing is happening. To try and solve the problem, sometimes, it would work if I change my print setting to print single sides instead of double. If that doesn’t work, I’d normally then email the document to my colleague sitting next to me, who’d then print the document without any problem. So what is wrong with my system?

Try these steps:

Check Printer Settings

Paper Type and Size Selection:

  • Ensure that you have selected the correct paper type and size (A4) both in your printer settings and in the print dialog on your computer.

Tray Configuration:

  • Verify that Tray 2 is configured correctly to hold A4 paper:
    • On the printer’s control panel, go to Setup > Paper Setup > Tray 2 and ensure it shows A4 paper.

Paper Guides Adjustment:

  • Check the paper guides in Tray 2 to ensure they are snug against the paper. Misaligned guides can cause the printer to incorrectly detect the paper size.

Physical Checks

Paper Quality:

  • Ensure the paper is not crumpled, warped, or has irregular edges.

Reload Paper:

  • Remove the paper, fan it out to ensure it's not sticking, and reload it. Sometimes paper can stick together, causing issues.

Sensor Cleaning:

  • Clean any paper dust from inside the tray and around the sensor that detects the paper.

Software and Network Troubleshooting

Firmware Update:

  • Check for and install any firmware updates for your printer. Updated firmware can resolve many issues.

Printer Driver Update:

  • Ensure you are using the latest printer driver on your computer. Visit the HP Support website to download the latest driver.

Network Connection:

  • If the printer is not responding, check your network connection:
    • Restart your router and printer.
    • Ensure the printer is properly connected to the Wi-Fi network.

Clear Print Queue:

  • If the printer is not responding, clear the print queue and retry:
    • On Windows, go to Devices and Printers, right-click on your printer, and select See what's printing. Clear any queued jobs.
    • On Mac, go to System Preferences, Printers & Scanners, select your printer, and clear the print queue.

Restart Printer:

  • Turn off the printer and unplug it for a minute before plugging it back in and turning it on again.
