I'm trying to set up Scan to email but my printer is asking me to sign in as a device admin or printer user.  what is that?

Welcome to the HP English Community --

This could be a result of having changed one or more of the embedded Security > Access Control settings in EWS.

That said, unless you know what you doing, you'd not likely be in that section and would have left the Security settings as "Use Default".

"Guest" accounts do not normally have access to most printer usage settings -- this is normal and certainly the preferred setup.

Simply put:

  • Stay out of the EWS embedded Security > Access Control section unless you can accept responsibility for the results of any changes you make.  Yes, the security is useful in certain situations -- Yes, you can lock up your printer and have to set it back to Factory to clear mistakes or printer tantrums.
  • Do not give any except minimal access to Guests
  • Do not set up Scan to Email as or for a Guest.

Example - EWS - Security > Access Control

EWS_9135_Security_Access-Control_Permissions_Printer-User-Accounts_3EWS_9135_Security_Access-Control_Permissions_Printer-User-Accounts_3

What else?

Error messages are generated as can be done -- they might be generally accurate but can be out of context to your actual situation.

Perhaps the message simply indicates a missed setup or configuration in the Email Servers setup.

Reminder:

Expect to use an App Password in place of your regular email password.
