I have an OfficeJet 5258 that goes offline periodically and then I cannot get a print job completed. I have uninstalled it and reinstalled many times and noticed I now have a Copy1 printer and another selection for the same printer. I do see the printer that is linked to my IP address but still cannot get printing completed. This has been an issue since my last Windows upgrade to 11. Any ideas on a fix to this problem and how do I get rid of the duplicate printer selections? There does not appear to be any updated drivers available for my printer. I have it set to be wireless so that I can print from my iPad. Worked fine yesterday.

I understand your OfficeJet 5258 is frequently going offline and showing duplicate printer entries, especially after your upgrade to Windows 11. You're not alone—this issue often occurs due to changes in how Windows handles printer ports and device discovery, especially over Wi-Fi.

Let’s try the following steps to resolve the offline issue and clean up the duplicate printer entries:

 

Remove Duplicate Printers

  • Go to Settings > Bluetooth & devices > Printers & scanners.
  • Click on each duplicate OfficeJet 5258 (e.g., "Copy1", etc.) and select Remove device.
  • Make sure only one instance remains, ideally the one associated with the correct IP address.

Set a Static IP for Your Printer

  • Dynamic IP addresses often cause offline issues.
  • Print a Network Configuration Page from the printer’s control panel (usually under Wireless > Settings > Print Reports).
  • Note the current IP address, Subnet Mask, and Default Gateway.
  • Open a browser and enter the IP to access the Embedded Web Server (EWS).
  • Navigate to Network > Advanced Settings and set a Manual IP address using the info from the report. Choose a number outside your router’s DHCP range to avoid conflicts.

Reinstall the Printer Using IP Address

  • Go to Control Panel > Devices and Printers and remove any remaining OfficeJet 5258 devices.
  • Click Add a Printer > "The printer that I want isn’t listed."
  • Choose Add a printer using a TCP/IP address or hostname.
  • Enter the static IP you just set.
  • Follow prompts and assign a friendly name like “OfficeJet 5258 (Static).”

Set as Default & Disable "Let Windows Manage My Default Printer"

  • In Settings > Bluetooth & devices > Printers & scanners, select your printer and click Set as default.
  • Scroll down and turn off Let Windows manage my default printer (if enabled).

Restart Print Spooler Service

  • Press Win + R, type services.msc, and press Enter.
  • Find Print Spooler, right-click > Restart.

Optional: Reinstall Using HP Smart App

  • Download the HP Smart app.
  • Add the printer using the IP or search for it over the network.
