My company just bought a new printer, yesterday, and I am having the most difficult time setting up Scan to E-mail.

 

Wireless is all set up. I checked the IP address and it's correct.

I keep getting error messages when trying to set up the scan to e-mail.

 

"One or more recipient addresses are not valid. Check your email recipient's address and try again."

 

Default From: companyname@aol.com
Default Display Name: (my company name)
SMTP Server: Smtp.aol.com

SMTP Port: 25

Always Use Secure Connection: Unchecked

Server Authentication: Server does not require authentication is checked.

 

I have companyname@aol.com set up as the only outgoing e-mail profile.

 

Can somebody help me with this?

I tried calling HP Customer Support and they just sent me in circles to the "correct department."

Most email servers require authentication these days.  I found these suggestions for setting up aol STMP accounts:

 

  • SMTP Outgoing Server Address: smtp.aol.com Set the port to 587
  • SMTP Username: YourUsername@aol.com (or @love.com, @games.com, etc.)
  • SMTP Password: password you use to login to Mail

Try using the above and see if it works.

That brought us a step forward!

Now when I run the test, it says "The settings have been updated and tested successfully." which is great.

 

However, when I scan to e-mail on the printer it says "All recipient e-mail addresses are rejected by the server. Make sure recipient e-mail addresses are correct." I tried two e-mails and both failed.

 

What does this mean?

It still sounds like either the printer is not connected to the internet, or one of the smtp settings is wrong.  Did you use the Wireless Setup Wizard in the printer to get it to connect to your wifi router?

 

Can you check your email settings using a computer?  In other words, do you have aol set up on an email client (like Thunderbird perhaps) and can you send test emails successfully using the same settings you now have in the printer?  Are the accounts valid and "alive"?

 

I've located the User Guide for this printer.  Page 82 explains how to set up the "Scan to Email" function. Which method are you using to set this up?  Are you accessing the printer from a computer using the "EWS" (Embedded Web Server) or the HP Printer Assistant?  I'd suggest using the EWS method.  You have to open a web page on a computer, then enter the printer's IP address (Example. 192.168.1.24).  (To obtain the IP address, on the control panel dashboard, touch the little network looking icon.)

 

When the page opens, you'll then see many tabs, one of which is the "Scan" tab. Here you can access all the settings for Scan to Email.

 

Another tab is "Tools".  In this tab you can set up the printer for "Printer Updates" to arrive automatically.  This is recommended by HP.  We want to be sure the printer has the latest firmware.

 

I also found another setting to check off if offered:  "For a secure connection, check the SSL option for IMAP/POP and TLS for SMTP in your mail program."

I have been using EWS the entire time.

The printer is 100% connected to WiFi.

 

I already tried using the User Guide; that's how I knew how to get into the EWS but I am not understanding why the test works in EWS but the actual printer won't send through...

 

I've looked into the Printer Assistant, too, and tried some functions on there, but still no success.

 

I'm not even entirely sure what Thunderbird is so I know I'm not using that.

 

I may have just found the possible cause, though...

Under Outgoing Email Profiles I have my company e-mail listed in the chart.

When I hit "Test" next to it, I get a swift response of "One or more recipient addresses are not valid. Check your email recipient's address and try again."

 

Maybe this is what's behind the issue?

I just figured it out.

 

I went to "Edit" under the Outgoing Email Profiles and under Server Authentication I checked "Server requires authentication" and entered the company e-mail and the e-mail password.

 

Everything is working now.
