I would like to scan to email. All SMTP settings have been correctly entered. When I try a test (even with a 2MB file), I get the message: 'The size of the file is too large. Reduce file size or free up hard disk space and try again. Click "OK" to go back.'

What is the solution for this?

Thank you for posting your query; I’m here to help by guiding you through steps to resolve this issue

 

Check the Scan Settings

  • Resolution: High-resolution scans can result in larger file sizes. Try adjusting the resolution to a lower setting (e.g., 200 dpi or 300 dpi) for smaller file sizes.
  • Color Mode: Scanning in color produces larger files. If possible, switch to black & white or grayscale scanning to reduce the file size.

Verify the Email Attachment Size Limit

  • Some email providers impose limits on attachment sizes, typically around 10MB. Although you’re scanning a 2MB file, certain email services or SMTP servers may have restrictions.

Free Up Printer Storage

  • The error message you're seeing can also indicate a lack of storage or memory on the printer. To address this, I recommend clearing any pending tasks in the print queue and rebooting the printer to refresh its memory.

Update the Printer Firmware

  • Firmware updates can resolve issues with scanning and emailing. Please ensure your printer is using the latest firmware version. You can check for updates via the printer’s control panel or on the HP website.

Scan Smaller Documents

  • If you’re scanning a multi-page document, try scanning fewer pages to see if the issue persists. This can help identify if the file size is related to the number of pages.

Re-check SMTP Settings

  • Double-check that the SMTP server, port, and security settings (TLS/SSL) are entered correctly. If you’re unsure, you can refer to your email provider’s documentation for accurate settings. A mismatch in these settings could also cause issues.

Try a Different Email Provider

  • If possible, test the scan-to-email feature with a different email account or provider to rule out any limitations imposed by the current email service.
