Common problems for Connectivity Issues

HP ENVY 5540 All-in-One Printer

We've been having trouble with our HP Envy 5540 for some time now. Some of our devices could print to it fine, others required a little coercion before they worked.

 

Then, I updated our wireless hardware. I set it up the new network with the same name and password as the old one, and almost all our equipment transitioned without problem, except for the 5540 which, despite showing that it's connected to wifi, doesn't connect to the web service, and consequently we can't print, scan, or copy with it from any device.

 

I've reset the printer, computer, and routers, to no effect. I did have the network setup as public, I've changed it to private, but that didn't fix it.

 

I tried running the troubleshooting in HP smart. It says it fixed the problem... only to have not fixed again.

 

I tried running updating the firmware, but the firmware updater on my computer can't find the printer, and the printer itself can't connect to the web service, so that's a no-go either.

 

And that's where I'm at. Help me HP Wan Kenobi.

It sounds like you’ve tried a lot of the common troubleshooting steps already, so let’s dig a bit deeper into what might be causing the issue with your HP Envy 5540. Here’s a comprehensive approach to resolving your connectivity issues:

1. Verify Network Configuration

  • Network Name and Password: Double-check that the network name (SSID) and password are exactly the same as before. Sometimes even a small discrepancy can cause issues.
  • IP Address Conflict: Ensure there are no IP address conflicts on your network. You can assign a static IP address to your printer to avoid this issue:
    • On the printer, go to Settings > Network Setup > TCP/IP.
    • Set a static IP address that’s outside the range of your router’s DHCP server but within the same subnet.

2. Reconfigure Printer Network Settings:

  1. On your printer, go to Setup or Settings.
  2. Select Network or Wireless.
  3. Choose Restore Network Settings or Restore Defaults.
  4. Reconnect to your new network using the Wireless Setup Wizard.

3. Reinstall the HP Smart App

  • Uninstall the HP Smart app from your device.
  • Restart your computer or mobile device.
  • Download and reinstall the HP Smart app from the official site or app store.
  • Open the HP Smart app and follow the setup process to reconnect to your printer.

4. Check Web Services

  • Enable Web Services:
    1. On the printer, go to Settings or Setup.
    2. Navigate to Web Services or HP Connected.
    3. Ensure Web Services is enabled. If it’s not enabled, try enabling it.
  • Sign in to HP Connected:
    • Go to the HP Connected website and sign in with your HP account.
    • Ensure your printer is registered and connected.

5. Firewall and Security Settings

  • Make sure your computer’s firewall or antivirus software is not blocking the printer or HP Smart app.
  • You might need to add exceptions for the HP Smart app or printer software in your firewall settings.

6. Firmware Update:

  • Since the firmware updater couldn’t find your printer, try updating the firmware directly from the printer if it supports it:
    1. On the printer, go to Setup > Printer Maintenance > Firmware Update.
    2. Follow the on-screen instructions.

7. Direct IP Printing:

  1. On your computer, go to Control Panel > Devices and Printers > Add a Printer.
  2. Choose Add a local printer.
  3. Select Create a new port and choose Standard TCP/IP Port.
  4. Enter the static IP address you assigned to the printer and follow the prompts to add it.

8. Check for Printer Errors:

  • Check the printer’s display panel for any error messages or warnings and address them accordingly.

Great stuff. Thanks. 

 

1. Double checked the wifi configuration. It's fine. 

2. IP address conflict, not that I can tell, but a static IP doesn't fix it. 

3. Reset and start again.  Sounds good. It seems to work for a second because I get an email from HP saying my ink cartridge is installed wrong meaning it connected, but it seems like it didn't connect properly, and when I tried printing it said it was offline again, and when I try to use the copy it said it can't because it's not connected to the server again. So that didn't last. 

4. Check web services. I tried to tell it to connect and it's been giving me the "Connecting..." prompt for 15 minutes now. Why doesn't it want to connect.

I should also mention, I attempted to print directly through IP, but the printer kept complaining that it wasn't connected to the server, so it refused to print.
