Need to connect printer with my macbook using USB cable

Hello,

1. Physical connection (baseline check)

I always start here because macOS won’t load drivers unless the device enumerates correctly.

  1. Power OFF the printer

  2. Connect the USB cable directly from printer → MacBook

    • Avoid hubs or docking stations for first-time setup

  3. Power ON the printer

Why:
macOS detects USB devices at power-on and triggers the printer subsystem (CUPS). If enumeration fails, nothing else will work.


2. Let macOS auto-detect the printer

macOS has a large built-in driver library.

  1. Go to Apple menu → System Settings

  2. Open Printers & Scanners

  3. Wait ~30–60 seconds

  4. If the printer appears automatically → select it → click Add

Best practice:
If macOS finds the printer on its own, do not install vendor drivers yet. Apple’s native drivers are usually more stable.


3. If the printer does NOT appear automatically

This is where manual addition helps.

  1. In Printers & Scanners, click Add Printer, Scanner, or Fax

  2. Go to the Default tab

  3. Look for your printer listed as USB or by model name

  4. Select it

  5. In the “Use” dropdown:

    • Prefer AirPrint or Generic PostScript Printer

    • Only select a vendor driver if required

  6. Click Add

Why this matters:
Choosing AirPrint or Generic avoids kernel extensions and keeps macOS updates safe.


4. Install manufacturer driver (only if needed)

Do this only if:

  • Printer shows up but won’t print

  • Advanced features (duplex, trays, finishing) are missing

Steps:

  1. Download the macOS driver from the printer manufacturer

  2. Install → reboot MacBook

  3. Remove the printer from Printers & Scanners

  4. Add it again so the new driver is picked up


5. Quick validation

I always validate before closing a setup:

  1. Select the printer

  2. Click Open Print Queue

  3. Print a test page

  4. Confirm no “Paused” or “Filter failed” errors


Common pitfalls I see

  • USB-C adapters causing power negotiation issues

  • Old printers not supported on newer macOS versions

  • Using vendor drivers when AirPrint would work better

  • Connecting printer after System Settings is already open (refresh needed)
