Common problems for Connectivity Issues
We would like to share some of the most frequently asked questions about Printer Wi-Fi, Connectivity Issues and Offline Status. Check out this link: HP printer is offline or unavailable.

I have a color laserjet pro mfp 3301sdw that has been working fine for two years.  This week when trying to scan to email I get the error ERROR Network connection error.  Check network and try again.  When I check the network status under settings the Wifi tests are all pass or excellent but under connectivity the connected status is Fail, disconnect count is 13.  I followed the instruction on the HP support webpages and uninstalled HP Smart and the printer from Windows 11 (25H2) and then reinstalled the printer driver from 123.hp.com.  No change. 

 

Any suggestions?

If your "scan to email" is done from the control panel of the printer then you need to configure the email account for the printer using the EWS app.  This explains how to Use the HP printer Embedded Web Server (EWS)

Step 1. Find the printer's IP address
On the printer's touchscreen:
• Menu → Network (or Wi-Fi) → Network Summary
• Note the IPv4 address (for example, 192.168.1.120).

Step 2. Open the Embedded Web Server
On a computer connected to the same network:
1. Open a web browser.
2. Enter the printer's IP address in the address bar.
3. Log in as admin if prompted. The default PIN is printed on the label inside the printer (usually behind the front or toner access door).

Step 3. Configure Scan to Email
In the EWS:
1. Select Scan.
2. Select Scan to Email.
3. Create a new Outgoing Email Profile.
4. Enter:
Your email address
Display name
SMTP server
SMTP port
Authentication information

5. Save and use Save and Test to verify it works.
Typical SMTP settings
For G mail:

SMTP Server: smtp.g mail.com
Port: 465 (SSL) or 587 (TLS)
Username: your full G mail address
Password: Google App Password (not your normal password

if 2-Step Verification is enabled).
For Microsoft 365 / outlook com
SMTP Server: smtp.office365.com
Port: 587
STARTTLS enabled
Username: your full email address
Password: your account password or app password

Step 4. Scan from the printer
Once configured:
1. Place the document on the glass or in the ADF.
2. Tap Scan.
3. Tap Scan to Email.
4. Select your email profile.
5. Enter or choose the recipient.
6. Press Scan. The document is sent as an email attachment.

 

if you want to simply scan-to-email from a PC  then you need the (for Intel/AMD) full feature printer driver and possibly additional scan tools

 

You might want to look at all the software and firmware available

 

If you recently switched to 2-Step verification then you need an app password instead of your email account password.   Click the spoiler

The printer cannot use the account password. A special "application" password is required as discussed here by HP.

You cannot use your account credentials. Your username (email) is ok but you need an app password as discussed here by Microsoft.

Thanks for the reply.  I will try and follow the steps in the suggested links.  I'm a bit confused with all the jargon.  I take it the printer needs it own email account, 16-digit security key, pin ... and once all this is set up I should be able to scan to email again?  And I can't use Outlook or Yahoo for the email as these are not supported by Microsoft.

 

The scan to email has been working fine for two years. I haven't changed anything other than a recent Windows update so maybe that is the culprit.  Frustrating.

Did you recently enable 2fa (2 step authentication) for your email account?

If nothing has been changed then it is likely you only need to reinstall the full feature driver.

 

If you are using or want to use the printers control panel to do the scan to email, then yes, the printer needs to have email set up for it to use.

 

If you simply want to click on 'HP Scan" for use HP App to do the scan to email then the full feature driver must be installed.

 

There one for ARM cpus and one for Intel/AMD cpus

When the scan fails, what is the error message (if any)?

Authentication failed / Invalid username or password usually points to the app password or email credentials.

Cannot connect to server is more likely a network or SMTP server issue.

Certificate or TLS error indicates an encryption or security compatibility problems.

Thank you for the help and suggestions.

 

When I log into the printer, there is no Scan to Email option under Scan, only Web Scan, Scan to Network Folder and Scan to USB.  Scan to Email is still the first option under Scan on the printer itself.  I added an email server under General and tested it, all working, thinking it needed an email server for Scan to Email to appear.  Still no scan to email.  I have rebooted the printer and my computer and tried again.  No change.  I checked all the other menus and sub-menus to see if Scan to Email moved.  Not to be found.  

 

I have reinstalled the latest drivers for the 3301 from the HP website for Intel.  Rebooted everything.

 

No change.  When I select Scan to Email on the printer (which I have used many, many times) the printer returns Error Network connection error.  Check network and try again.

 

I confirm the printer is connected to wifi under settings and the wifi diagnostics are pass and excellent.  Under Connectivity it shows Fail.

 

I can print wirelessly.

 

Scan to email no longer works on my wife's macbook either.

 

I can scan using the HP Scan tool.  I cannot scan using the native scan application in Windows which I also used in the past. 

 

Any other suggestions?
