As the IT Support specialist for our company, we are trying to incorporate as much security as possible.  So, I would like to know if a document is printed from a computer in our office to our HP 9020, how can the document also be carbon copied to a security folder for review.

The answer is "Can be done -- Maybe Not easily".

 

A Few Thoughts "on the fly"...

 

Disclaimer

The last time I suggested a business owner get a college student to write a program / script to accomplish a task, I was met with -- let's say -- "resistance to the idea".

 

Nonetheless, a task / script / program might be the best option.

Why?

The standard applications and provided printer software do not natively do what you want.

Part of what you could use is "Sort of" available.

  • "Sort of" means the setup has to be put into place ahead of time.
  • "Sort of" also means the job is not copied -- the print job is saved for reprinting later in a print language format.
  • "Sort of" also means that what is available in Windows is Task driven, the data is pretty raw, and the information has to be mined and hand copied to a separate location.
  • The setup is also vulnerable -- if the printer is reset, if the printer software has to be reloaded, if the printing queue is lost, reset, deleted, if the user has enough privilege to break the setup, the information is lost to the point of the interruption.

 

Save jobs to be reprinted later

 

For those reading, the following applies to recent versions of Windows and a printer for which the Full Feature Software has been installed.

 

Windows 10 / Windows 11

Windows key > Search for and open Control Panel

 

Control Panel > icon view > Devices and Printers 

Right-Click on your Printer > Printer Properties

(If necessary) Change Properties > Tab Advanced                                                                              

Select Keep printed documents > Apply > OK

Another approach - MAYBE partially useful but you need to force people to cooperate...

Use HP Smart Shortcuts to Print and Save  - the problem with this approach is that the Shortcut saves the document to only a few locations - Cloud Storage locations -- hardly secure.
