I cannot figure how to fix the printer showing as offline

I understand how frustrating it feels when your printer shows as offline—it interrupts the flow of your work and makes even simple tasks feel complicated. Thank you for the effort you’ve already put into trying to resolve it. 

Let’s walk through clear steps to bring your printer back online and restore smooth printing.

 

Steps to Fix Printer Offline in Windows

 

Check Connections

  • Ensure the printer is powered on and connected to the same Wi-Fi network as your computer.
  • If using USB, confirm the cable is securely connected to both the printer and the computer.
  • Try a different USB port if available.

 

Set Printer Online

  • Press Windows + R, type control printers, and press Enter.
  • Right-click your printer and select “See what’s printing.”
  • In the window, click “Printer” at the top menu.
  • If “Use Printer Offline” is checked, click it to uncheck.

 

Restart Print Spooler Service

  • Press Windows + R, type services.msc, and press Enter.
  • Scroll to “Print Spooler,” right-click, and select “Restart.”
  • This refreshes the printing system and often clears offline status.

 

Run Diagnose & Fix in HP App

  • Open the HP App on your computer.
  • Go to the Support section and select “Diagnose & Fix.”
  • Follow the prompts—it automatically checks for connectivity issues and resets the printer status.

 

Update Printer Drivers

 

Re-add the Printer

  • Go to Settings > Devices > Printers & scanners.
  • Select your printer and click “Remove device.”
  • Then click “Add device” to reinstall it fresh.
  • This clears any corrupted connection profiles.

 

Check IP Address (for Wi-Fi printers)

  • On the printer’s control panel, print a network configuration page.
  • Note the IP address.
  • On your computer, open a browser and type the IP address—if the printer’s page loads, the connection is active.
  • If not, reconnect the printer to Wi-Fi through its control panel.
