- HP Printer Wi-Fi Connectivity - Quick Fix Guide
1. Introduction:
This guide provides a structured troubleshooting approach for HP printers that cannot connect to a wireless network, are not detected during setup, show as offline or unavailable, connect successfully but frequently disconnect, or experience printing/scanning and HP app issues.
The objective is to quickly identify the root cause and apply the appropriate troubleshooting steps.

4.1 Check the Wireless Status

Wireless-light behavior varies by printer model. Use the model-specific HP documentation (Referenced at the end) when the behavior is unclear.
4.2 Confirm Same Network
Confirm printer and computer/mobile device are using the intended network.
- Do not assume internet access means local printer-to-device communication is available.
- Avoid guest/public networks for normal printer discovery when they isolate clients.
- Do not connect to DIRECT-xx-HP unless Wi-Fi Direct is intentionally being used.
4.3 Obtain the Printer IP Address
Print a Network Configuration Page or Wireless Network Test Report where supported. The report can show SSID, IP address, MAC address, wireless status, signal information, security, and disconnect information.
4.4 Ping the Printer
On Windows Command Prompt, run:
ping <Printer IP Address>
Expected: a reply from the printer IP address. A failed ping does not by itself prove the printer is offline because some networks block ICMP.
4.5 Open the Embedded Web Server (EWS)
In a browser on the same network, enter:
http://<Printer IP Address>
If EWS opens, the printer is reachable on the network. Focus next on discovery, HP app, driver, firewall, scanning, or operating-system issues.
Decision Rule
Wireless status connected + Ping/EWS works → printer is connected. Wireless status off/blinking or network reachability fails → follow Section 5. Printer connects but later drops offline → follow Section 7.
5. Printer Is Not Connected
- Power cycle the printer, router, and computer/mobile device. Allow the router to fully restore connectivity before turning the printer back on.
- Confirm the correct Wi-Fi password. Check capitalization, special characters, and accidental spaces.
- Confirm the correct SSID. If the router uses separate 2.4 GHz and 5 GHz networks, use the band supported by the printer.
- Move the printer closer to the router or range extender during testing.
- Reduce interference from microwaves, metal cabinets, thick walls, and other radio-emitting equipment.
- Restore Wi-Fi setup mode if the printer was previously configured on another network.
- Update printer firmware when the printer is reachable and an update is available.
- Review router security, wireless compatibility, isolation, access control, and firmware settings if the issue persists.

6. Printer Is Not Found or Not Detected
Use this section when the printer is connected or appears connected, but HP App or the operating system cannot discover it.
- Confirm printer and device are on the same local network/subnet.
- Check AP isolation, client isolation, wireless isolation, WLAN isolation, and guest network isolation.
- Temporarily test with Smart Connect/Band Steering/Smart Steering disabled where permitted.
- If needed, temporarily separate 2.4 GHz and 5 GHz SSIDs to isolate band-related discovery problems.
- On mesh/extender networks, verify both devices are on the same logical network and test near the primary router/node.
- Check MAC filtering/access control and allow the printer's wireless MAC address if required.
- Check firewall/endpoint security for HP App, HP Scan, Bonjour, and mDNS/local discovery traffic.
- Temporarily disconnect VPN and retry discovery.
7. Printer Disconnects Frequently
- Move the printer closer to the router and check the wireless signal.
- Review Signal Strength and Signal Quality on the Wireless Network Test Report.
- Reduce wireless interference.
- Consider a router-side DHCP reservation if the printer's IP address changes frequently.
- For mesh Wi-Fi, test near the primary node and bind the printer to a node where supported.
- For Wi-Fi 6/7 troubleshooting, temporarily test with WPA2 or WPA2/WPA3 mixed mode and with Smart Connect/band steering disabled.
- For Wi-Fi 7, temporarily test with MLO disabled where supported.
- Restart the router, mesh/extender, printer, and device after network configuration changes.
8. WPS Setup
Use WPS only when both the printer and router supports it.
- Place the printer near the router.
- Put the printer into WPS mode.
- Press the WPS button on the router.
- Wait for the printer to complete the connection.
- Add the printer to the HP app if required.
WPS PIN caution
Do not confuse WPS push-button setup with a WPS PIN prompt.
PIN behavior varies by printer and setup method; follow the model-specific HP procedure (Referenced at the end)
9. Wi-Fi Direct
Wi-Fi Direct creates a direct wireless connection between a device and printer rather than using the normal local Wi-Fi network.

- Use Wi-Fi Direct as a temporary workaround or diagnostic test when normal network setup is unavailable.
- The printer network typically appears as DIRECT-xx-HP [Printer Model].
- Use the printer's information page, control panel, EWS, or HP app to obtain the Wi-Fi Direct credentials, depending on model.
- Do not confuse the Wi-Fi Direct password with the customer's normal router Wi-Fi password.
10. Printer Is Offline or Unavailable
- Check printer power and printer-side errors.
- Check wireless status.
- Verify the network and printer IP address.
- Test Ping and EWS.
- Run HP Diagnose & Fix where supported.
- Clear the print queue.
- Remove/re-add the printer if necessary.
Important
If Ping/EWS works but the HP app reports the printer as unavailable, do not immediately assume the printer is offline.
Investigate discovery, driver, firewall, queue, and application issues.

12. Printing Problems
- Confirm the correct printer is selected in the application.
- Confirm printer is online and free of printer-side errors.
- Check paper and ink/toner.
- Clear any stuck jobs.
- Run HP Diagnose & Fix where supported.
- Print an internal/test page if available.
- Remove duplicate/old printer queues if necessary.
- Remove and re-add the printer if the queue or driver is corrupted.
13. Print Jobs Stuck in Queue
- Open the printer queue.
- Cancel all pending jobs.
- Wait for the queue to clear.
- Restart the printer.
- Restart the computer.
- On Windows, restart the Print Spooler service if jobs remain stuck.
- Re-add the printer if the queue remains corrupted.
14. HP Account, Web Services, Cloud, HP+ and Instant Ink
- Confirm internet connectivity.
- Confirm the HP App is updated.
- Confirm you can sign in to the HP account.
- Disconnect VPN temporarily and retry where appropriate.
- Confirm the printer is registered to the intended HP account.
- Check Web Services/cloud status where applicable.
- For HP+ or Instant Ink enrolled printers, verify account, enrollment, connectivity, and service status before resetting or replacing the printer.
- Print Anywhere/cloud features require a supported printer, account/app configuration, and internet connectivity.
15. Scanner Not Found or Not Connected
- Confirm printing works and the printer is connected.
- Confirm the computer and printer are on the same network.
- Restart printer and computer.
- Update HP app/software.
- Run Diagnose & Fix where supported.
- Check firewall/security software.
- Remove/re-add the printer.
- If using USB, reconnect the cable and test another port/cable where appropriate.
- Reinstall HP software if scanning remains unavailable.
16. Android – Printer Unavailable
- Printer powered on and error-free.
- Phone connected to Wi-Fi.
- Phone and printer on the intended network.
- HP app updated.
- Required app/device permissions enabled.
- VPN disconnected for testing.
- Wi-Fi Direct used only when intentionally selected.
17. Windows – User Intervention Required
- Check the printer display/lights first.
- Resolve paper, cartridge/toner, door, or hardware errors.
- Confirm printer is online.
- Clear the print queue.
- Restart printer and Windows.
- Run Diagnose & Fix.
- Remove/re-add printer if necessary.
18. Windows 11 Installation
- Run Windows Update.
- Restart Windows.
- Update HP software.
- Remove incomplete/duplicate printer installations.
- Install the current HP-supported software.
19. Windows 11 ARM64
- Driver compatibility can differ on Windows 11 ARM64 devices.
- Use the current HP-supported installation method for the printer and operating-system architecture.
- Do not force an incompatible legacy driver.
20. Windows 11 25H2
- Restart Windows.
- Run Windows Update again.
- Update HP software.
- Run Diagnose & Fix.
- Check whether the printer remains installed.
- Remove duplicate/incomplete queues.
- Reinstall current HP-supported software.

21. Unexpected Configuration Problem
If you receive an error/s such as “Your printer has experienced an unexpected configuration problem,” check:
- Printer power and status
- Network connection and printer IP
- Print queue
- Duplicate printer entries
- Driver/software

If unresolved: remove the printer, restart Windows, reinstall using current HP-supported software, and test again.
22. HP App Cannot Be Installed
- Confirm operating-system support.
- Update Windows/macOS/iOS/Android.
- Confirm internet connectivity.
- Check app-store availability and device storage.
- Check security/organizational restrictions.
- Restart the device and retry.
23. HP App Sign-In / Registration Problems
- Confirm internet connectivity.
- Verify HP account credentials.
- Update the HP app.
- Temporarily disconnect VPN.
- Confirm device date/time is correct.
- Confirm printer setup is complete before registration.
- Retry registration after restarting the printer and device.
24. Diagnose & Fix
For supported environments, use HP Diagnose & Fix before extensive manual troubleshooting.
- Open the HP App.
- Select the affected printer.
- Run Diagnose & Fix.
- Apply recommended fixes.
- Print a test page.
- Repeat scanning validation where applicable.

27. If the Issue Still Persists
Print a Wireless Network Test Report and review the Diagnostics Summary/Results. Pay particular attention to Wireless On, Wireless Working, Signal Strength, Signal Quality, Network Name (SSID) Found, Security, No Filtering, Connected, and Disconnect Counts. (Use the actual printer report for case diagnosis; refer to the visual under section 4.3)
As a diagnostic workaround, test the printer on another trusted network or mobile hotspot. If the printer works on another network, focus on the original router/network. If it fails on multiple networks, investigate firmware, software, or hardware.
28. Wi-Fi Direct Workaround
When normal network connectivity cannot be established, use Wi-Fi Direct where supported. This can also help determine whether the printer's wireless hardware can communicate directly with a device.
- Connect the device to DIRECT-xx-HP [Printer Model].
- Enter the Wi-Fi Direct password from the printer's information/report/EWS.
- Print a test page.
- Use Wi-Fi Direct as a workaround while the normal network is investigated.
