Microsoft Windows 11

HP2540 working wirelessly - will print with no problem. However, when I scan, and attempt to save the scan to a file, it repeatedly says "file not found" - even though the file exists and is available and uncorrupted. HP Doctor hasn't fixed it. Help!

Hi @Artieleblanc,

Welcome to HP Support Community.

Thank you for posting your query, I will be glad to help you.

If you're experiencing issues with scanning on your HP2540 printer even though the file exists and is available, there are several steps you can take to troubleshoot and resolve the problem. Here are some suggestions.

Check File Path:

  • Ensure that you are saving the scanned file to a location where you have write permissions.
  • Double-check the file path and make sure there are no typos or invalid characters in the file name.

File Format Compatibility:

  • Verify that the file format you are saving the scanned document in is supported by the scanning software. Common formats include PDF and JPEG.

Update Drivers:

  • Make sure that your printer drivers are up to date. Visit the official HP website to download and install the latest drivers for your HP2540 model.

Restart Devices:

  • Sometimes, a simple restart of both the printer and your computer can resolve communication issues. Turn off the printer, wait for a few seconds, and then turn it back on.

Check Connection:

  • Ensure that your printer is properly connected to the network, and there are no connectivity issues. A stable network connection is crucial for scanning to work seamlessly.

HP Print and Scan Doctor:

  • Download and run the HP Print and Scan Doctor utility from the official HP website. This tool can automatically diagnose and fix common printing and scanning problems.

Firewall/Antivirus:

  • Check if your firewall or antivirus software is blocking the scanning process. Temporarily disable them and see if the issue persists. If disabling the security software resolves the problem, you may need to configure exceptions for the scanning process.

Scan to Computer Settings:

  • Check the settings on your printer for scanning to computer. Ensure that the correct computer is selected and that the destination folder is properly configured.

Reinstall Software:

  • Uninstall the scanning software on your computer, restart the computer, and then reinstall the software. This can help resolve any software-related issues.

Remember to follow the instructions provided in your printer's user manual for scanning and saving files, as there might be specific steps or settings that need attention.

I hope this helps.

Take care and have a good day.
