We would like to share some of the most frequently asked questions about HP Solution Center not working : Adobe Flash Player Error and Unable to Scan.

A customer has migrated to Office 365 and now has trouble scanning to mail. They have two smaller Pro MFP machines on satellite offices where only one or two persons work, hence no need for a bigger machine. However, scan to mail must work. Before migration, scan to mail worked without a problem, but under different prerequisities.

 

How I've set up the machine;

Network goes on DHCP, but double-checked DNS settings to make sure DNS resolution is ok.

Through EWS (built-in website), went to Scan > Outgoing mail profiles > Add (old one was removed first). Mail address and name is set to actual O365 account address, e.g "scanner@customer.com".

SMTP: smtp.office365.com

Port: 587

Use SSL/TLS box: Ticked (on)

Authentication box is ticked, and using same mail address as above (actual O365 account address) and Password is copied and pasted directly from O365 portal.

 

Still, when trying to scan (or use test-function in EWS) is keeps saying "wrong username or password", which I am more than completely sure is typed correctly. I gather the error reporting in these small machines isn't great, so I guess the problem is actually another.

I then went to Azure AD and looked at log file for user logins and can see that there's not one single attempt from this account. In other words, scanner is not actually reaching Office 365, or at least not trying to login.

 

I have played around with ports (25, 465 and 587) to no avail. Also tried using alternate methods from MS guide here: https://docs.microsoft.com/en-us/exchange/mail-flow-best-practices/how-to-set-up-a-multifunction-dev...

But since satellite offices have dynamic ip on WAN none of the other methods are valid for very long, so I need SMTP AUTH to work.

 

Also, I tried setting the machine up to scan through our own mailserver with SMTP relay and no authentication, and that works, but of course SPF tags mails as spam and they don't get delivered. So that's not a valid solution either.

 

To me it seems that there's an issue in the firmware of how scanner is communicating over SMTP since we have many other customers with many other machines setup in the same manner, and they all work with SMTP AUTH. Unless there is some magic security setting enabled in O365 that I completely missed, but after hours and hours of reading I'm pretty sure it's not so.

 

Anyone here got the M280 series to work with Office 365?

Found the solution. Go to Network > Security > Firewall and deactivate the firewall, or at least setup a rule to allow scan-to-email.

 

That was it, now it works.

Hi,

Such an error is due to any security concern, not due to any connection problem.

 

Try creating an App password and use it for the printer instead the standard password, may you see any difference then?

The customers O365 does not use two step authentication, it's turned off. I tried logging in at the site provided in the article you posted, but that site is for Microsoft-accounts, not for Office365 accounts as I interpret. Anyway it does not recognise the scanner account, but I can log in with my personal MS account that I use for my Xbox etc.
