There are at least two, possibly more, places where it is normal to use a password within HP Smart / HP App (Windows).

For example - a partial list --

  • HP Smart / HP App require you to sign into the application using your HP account credentials.  HP Smart is slightly better at staying signed in when the app is not in use -- the sign-in is necessary to use the application.  Since 2020, there is no workaround or method to bypass the requirement.
  • If your printer is connected to your local network using Ethernet, standard wireless, or Wi-Fi Direct, it might be necessary to provide the network / Wi-Fi Direct password if or when the connection to the network must be (re)established.
  • If you are using Share (to email) or saving content to a Cloud account, it is necessary that you are signed into that email and / or Cloud account.
  • Newer printers require a printer PIN to access certain parts of the Embedded Web Server (EWS).  Because EWS can be reached from within HP Smart / HP App, it can appear the requirement for the printer PIN is coming from the application.

Depending on the destination, use HP Scan (part of the full driver printer software).  Sign-in is not required for using the HP Scan software.  Other requirements, that of being signed into your network and any extraneous accounts (remote storage, Cloud, email) still apply.

Can you describe where you are seeing the request for password?

That means,

Where in the process of using HP Smart / HP App do you see the request for a password?

The pop up comes up when i want to scan which is surprising as i never set up a password.  This just started.  I am able to print without any issues.

OK.

I do not have a definitive answer.

-- Ideas --

If you are able to print within HP Smart / HP App but not Scan, the requested password might be one of those listed in my first message:  Share (email), or perhaps a Scan source or destination other than a local folder.

Share, in particular, can "get weird" if it has not been used for a while -- the sign in to Outlook can get lost and require that you add / sign into the Outlook App during the Share (to email) process.

If you believe the application is behaving other than it ought, perhaps try one or more of:

  • Restart the computer and the printer -- this is not a "cure all" -- Restarting clear clear odd or unexpected issues that pop up suddenly.
  • Use a different Scan software or application
  • If using "Import" as a means to bring in a saved image file to the scan process, change the Scan source.  For example, if you are importing an image file from your Cloud account (OneDrive), try importing a photo file saved in your local Pictures folder.
  • Change the Scan destination, that is, if the content will scan but not save where you choose, select a different destination.

-- HP Smart / HP App Shortcuts are a related but different animal --

  • If you are able to Scan the content but the Shortcut called to finish the job is failing / asking for a password, it is possible the password is for the Email or Cloud account used in the Shortcut's hard coded destination.

-- What about the "new" HP App for Windows? --

  • HP App (Windows) might suddenly become disconnected and require the app Sign-in when not expected.  This is not part of the Scan process but the need to sign into the application might be missed if the application opens and allows you to select but not actually use one of the Print / Scan Tiles.

"Different Scan Software or application"

Use HP Scan (part of the full driver printer software) or the basic but decent Windows Scan app.
