I understand that you would like to set up the Scan to Email feature on your HP Envy 7975, you'll need to follow these steps:

 

Prepare Network and Information

  • Ensure that your printer is connected to the network. You need administrative access to set up the Scan to Email feature.
  • Gather SMTP information, including the SMTP server name, port number, and any authentication requirements. This information can often be found by searching the internet or contacting your email service provider. For instance, Gmail’s SMTP settings typically involve smtp.gmail.com and port 465 or 587 with SSL enabled.
  • Have the email address and password ready for the email account you will be using through the printer.

Access the Embedded Web Server (EWS)

  • Find the IP address of your printer. This can be done by accessing the printer's control panel and selecting the wireless icon to view your printer’s IP address.
  • Open a web browser on your computer. In the address bar, type your printer’s IP address and press Enter to access the EWS.

Configure the Scan to Email Feature

  • Navigate to the Scan to Email section on the EWS.
  • Set up a new outgoing email profile:
  • Enter your email address in the appropriate field.
  • Provide a display name that will appear on the printer’s control panel.
  • Enter the SMTP server and port details gathered earlier.
  • Select authentication requirements, if any, and input the email account’s username and password.

Secure the Email Profile

  • Create a PIN for secure access. This ensures that every time someone uses the scan to email feature, they will need to enter the PIN, securing unauthorized use.
  • Test the email configuration by using the test feature provided to ensure everything is set up correctly.

final adjustments

  • Enter additional settings: Such as default subject lines and email format preferences (file type and size limits).
  • Upload a contact book, if necessary, for quick access to frequently used email addresses directly from the printer.
