I keep getting username and password is incorrect when trying to do scan to email.

 

When I attempt several times without making any changes to the settings it finally goes through

I understand the "username and password incorrect" error on the HP Color LaserJet MFP M281cdw when attempting to scan to email is often related to email server authentication issues. Here are a few troubleshooting steps to help resolve this:

Verify Email Credentials:

  • Double-check the username and password you're using for the email account in the printer settings. Make sure there are no typos or extra spaces.

Check SMTP Server Settings:

  • Confirm the SMTP server address, port number, and encryption type (SSL or TLS) with your email provider. Many email providers use:
    • Port 587 with TLS or Port 465 with SSL for outgoing email.
  • Ensure these settings match what’s configured on your printer.

Enable "Less Secure Apps" (if using Gmail or similar):

  • Some email providers, like Gmail, block sign-ins from apps that don’t use modern security standards. You may need to enable "Less Secure App Access" for the account if it's disabled.

Check for Two-Factor Authentication (2FA):

  • If the email account uses 2FA, create an app-specific password for the printer or temporarily disable 2FA to test if this resolves the issue.

Update Printer Firmware: Update the firmware on an HP printer

  • Outdated firmware can sometimes cause connectivity issues. Check HP’s support website for the latest firmware updates for your model.

Adjust Retry Attempts:

  • Some email servers may briefly lock accounts if they detect multiple unsuccessful login attempts in a short time. Try adjusting the frequency of retry attempts, if possible.
