My faxes are being sent, but lately the recipient says the forms are blank.  On my end when I view the documents I sent, they're not blank.  Any help would be appreciated...

Hi @Tina1617,

Welcome to HP Support Community.

Thank you for posting your query, I will be glad to help you.

If your faxes are being sent but the recipient is receiving blank forms, even though the documents look fine on your end, it suggests a potential issue with either the fax machine settings, the sending process, or possibly even the recipient’s fax machine. Here’s a comprehensive approach to troubleshoot and resolve this issue:

1. Check Fax Machine Settings

  • Ensure that your fax machine settings are correctly configured. Check settings like resolution, contrast, and paper size to ensure they match the settings of the recipient’s machine.
  • If you’re using a fax machine that relies on toner or ink, ensure that your cartridges are not low or empty. Sometimes, low toner or ink can cause faint or blank faxes.

2. Check Fax Quality and Transmission Settings:

  • If your fax machine has a setting for fax quality (e.g., Standard, Fine, or Super Fine), try adjusting it to see if it improves the outcome. Higher quality settings can sometimes help.
  • Some fax machines allow you to print a transmission report or error report. Check if there are any errors noted in these reports that might indicate issues with the fax transmission.

3. Test with Different Documents

  • Send a test fax using a simple document (e.g., a page with large, clear text) to verify if the issue persists. This can help determine if the problem is with specific documents or a general issue with the fax machine.
  • Try sending different types of content, such as text documents or images, to see if the issue is related to specific content types.

4. Check Fax Machine Maintenance

  • If you are using a fax machine with a scanning function, clean the scanner glass and any rollers according to the manufacturer’s instructions. Dirt or smudges on the scanner glass can affect the fax quality.
  • Ensure there are no paper jams or issues with the paper feed that could be causing problems with sending faxes.

5. Check Fax Line and Connections

  • Ensure that the phone line connected to your fax machine is properly connected and not experiencing issues. A poor connection can sometimes affect fax transmission.
  • If possible, test the phone line with another device to ensure it’s working correctly.

6. Consult the Recipient’s Fax Machine:

  • The recipient’s fax machine might have issues with its settings or paper quality. Ask them to check their fax machine and settings to ensure it’s not the source of the problem.

7. Update Firmware or Software

  • Check if there are any firmware updates available for your fax machine. Updating the firmware can sometimes resolve issues with fax transmission.
  • If you are using fax software on a computer, ensure that the software is up-to-date.

I hope this helps.

Take care and have a good day.
