I have an all-in-one HP Envy 4520 printer. It works well except for when I scan a document that I want to email to someone.

When I choose the option scan as email, when I'm done scanning it takes me to outlook to complete the operation, but then the email remains in the outbox and won't send.

I assume I need to change something somewhere, but I just don't know what.

Can someone help me?

Maybe, although I doubt I can easily do anything about Outlook.

 

Personally, I have fought the Outlook battle on several fronts (including this one).  I might be missing something, of course.  People all over the world use Outlook.  I have a fancy paid version of the Outlook software installed.  Stubborn stuff.

 

I usually end up "going around" the whole "Outlook" thing unless I really have to use Outlook or I am testing the setup for someone.

 

My Answer: 

Try a different mailer client for Scan-to-Email.

 

 

You need a mail client software that is installed on the computer.

 

Windows 10 Mail is a mail software that is installed on your computer.  I have differing versions of success using Mail.  Easy, instant, nice, easy to use.  Doesn't seem all that cooperative sometimes and the settings are woefully limited.

 

Mozilla Thunderbird is a mail client that you can download and install on your computer.

 

I am not in love with Thunderbird.  That said, the software is madly configurable, sturdy, and seems to work when other clients cling to life and sputter.  

 

The sample setup works on Thunderbird with one of my gmail accounts for which two-step verification is NOT set.

 

Consider (Entirely optional - offered FYI)

 

Download and Install Thunderbird mail client - add your email address, set the parameters

Example

Thunderbird_Tools_Account-Settings_SMTP_DefaultThunderbird_Tools_Account-Settings_SMTP_Default

 

 

Open Settings > Apps > Default Apps

Set the default mailer program to Thunderbird

 

Test:

Place an item you want to scan on the printer glass

Use the HP Scan software to initiate the scan.

Start the HP Printer Assistant (shortcut icon on the Desktop named for the printer)

Select Scan > Scan a Document or Photo

Select "Email as JPEG" or "Email as PDF" as you wish for the current job type.

Important

   Click More > Destination

   Under Mail Clients

   Select Mozilla Thunderbird from the drop-down menu

   Optional:  Click "Save a local copy" 

Click Scan

Click Send

 

Thunderbird should open

Fill in the destination (recipients), a subject, and any content you want to add to the body of the message.

Click Send 

 

NOTE:  Best to "Save a local copy" or add yourself to the send CC list.

Outlook Notes

If you are stuck on the idea of using Outlook (which is fine), try the following:

 

Before you start the Scan-to-Email task, simply open Outlook on the computer and leave it sitting there open.

 

Why?  Sometimes the Outlook program has to be "active" before it will accept and complete certain task input.

 

For example, when creating envelopes in Word, opening Outlook (and leaving it sitting there open) allows one to access the Outlook Contact list - nice so one does not have to type in the address(es) for envelopes.  Yes, I realize the two tasks are not related - the point is to illustrate that just having Outlook open can impact the outcome of other tasks.

 

You can leave Outlook minimized - just have it open and running quietly.

I don't use Outlook often - it does tend to hang on to whatever it cannot dispense (send / delete).
