Microsoft Windows 11

Ciao together
For some time now I have not been able to send the scan from my HP Office 9020 via Scan to Mail. In the configuration for Scan to Email, the default values from the provider are entered (such as SMTP port 465 or 587) etc. When testing the settings, the following error message appears: "The file is too large. Reduce the file size or free up disk space and try again". Only one e-mail without attachment is sent in the test e-mail. E-mail inbox has 0 GB (only used for sending). The firmware has been updated. It has also been tried with another e-mail account from the same provider - same error message. What could be the reason for the error message from the provider?

Hi @Piessielde56,

Welcome to HP Support Community.

Thank you for posting your query, I will be glad to help you.

The error message you're encountering, "The file is too large. Reduce the file size or free up disk space and try again," indicates that the scan you're attempting to send via Scan to Email feature exceeds the maximum file size allowed by your email provider.

Here are a few steps you can take to troubleshoot and potentially resolve this issue.

  • Check Maximum Attachment Size: Email providers often have a maximum attachment size limit for outgoing emails. This limit varies depending on the provider. Check with your email provider to confirm the maximum attachment size allowed for outgoing emails. Once you have this information, ensure that the file size of your scanned document is within this limit.
  • Reduce Scan Resolution: Higher scan resolutions result in larger file sizes. Try reducing the scan resolution in your HP Office 9020 settings to decrease the file size of the scanned document.
  • Compress Scanned Files: If reducing the scan resolution is not an option, you can try compressing the scanned files before sending them via email. There are various software tools available that can help you compress files without significantly affecting the quality.
  • Use File Format Compression: Some file formats inherently compress data better than others. For example, PDF files with compression settings can often reduce file size significantly without compromising much on quality.
  • Split Larger Documents: If your document consists of multiple pages, consider splitting it into smaller segments and sending them as separate emails. This can help bypass the file size limit imposed by your email provider.
  • Verify SMTP Settings: Although you mentioned that you've configured the SMTP settings according to your provider's specifications, double-check all the settings to ensure they are correct. Pay special attention to the authentication settings, as incorrect credentials can sometimes lead to misleading error messages.

By following these steps, you should be able to diagnose and potentially resolve the issue with sending scans via Scan to Email on your HP Office 9020.

I hope this helps.

Take care and have a good day.

Hello Alden4
Thank you for the possible solutions.
Unfortunately, these do not solve the problem.
The error message also appears when testing the configuration (Test and Save button). The device does not even send a "test email" without an attachment. The SMTP settings were adopted one-to-one according to the Internet provider. As I said, everything worked normally until a few days ago. I am not aware of any changes on the part of the provider (community).
Could this be due to the firmware?
Kind regards

I cannot scan to email as the printer reports the error... The size of the file is too large. Reduce file size or free up hard disk space and try again.

This is just when it tests the connection, i have reset to factory default with no success
