I had the "Scan to email" function working for years.  About 3 months ago it suddenly quit connecting to my SMTP server.  I've tried my iCloud account, my Edited account and the sever will not succeed in connecting to either.  It hasn't lost it's network connectivity because that's how I print to it.  The only way I can scan now is to my Mac via the app.  I would like to have Scan to email back because I scan documents to a variety of people.

I attached a screen shot of the error, which is the same regardless of the SMTP server I use.Screenshot 2026-04-09 at 9.12.27 AM.pngScreenshot 2026-04-09 at 9.12.27 AM.png

Hi @Kitmoni,

Welcome to the HP Support Community.

Thank you for posting your query. I will be glad to help you.

I understand you're facing issues with the "Scan to Email" function on your HP device. Here are a few troubleshooting steps to potentially resolve the issue:

Troubleshooting Steps for "Scan to Email" Function:

Check SMTP Settings:

  • Ensure that your SMTP server settings are correct and have not changed. You may need to update the server address, port number, and authentication settings.

Verify Email Account Credentials:

  • Double-check your email account credentials (username and password) to ensure they are correct.

Check Network Settings:

  • Make sure your printer is connected to the same network as your computer. If it uses Wi-Fi, ensure the connection is stable.

Firmware Update:

Security Settings:

  • Verify if your email provider has changed security settings that may prevent connections from external devices. You may need to adjust these settings or enable app-specific passwords if your email provider uses two-factor authentication.

Printer Settings Reset:

  • As a last resort, consider resetting the printer settings to default, which might clear any errors affecting the scan function.

I hope this will help.

Take care and have a good day.

I got it working.  Apple must have made a change to iCloud in that it now needs an App specific password to be generated.  That worked, thanks!

Hi @Kitmoni,

Glad to hear it’s working smoothly now—Apple’s update added that extra password step, so you’re all set!
