We recently upgraded to a new computer and Windows 11.  Before we did that we were able to scan from our printer and have it  pop up as a PDF attachment in an Outlook email.  We could then address the email, write a message, and send it off.  

The printer still scans and opens up as a PDF attachment in an email.  We can send the attachment but any typed in message doesn't go through, the message area gets sent blank and the email does not appear in the Sent folder like it used to.

Is there a solution to this.  We need to have this capability.

Note: 

If none of the following is relevant, simply ignore it. 

Anything "Outlook" is not my specialty -- I might easily miss something.

 

Start...

I did not have Outlook set up to be used with HP Scan on the Windows 11 machine used for this test

Starting from the point where HP Scan requests a Profile to be created...

 

  • HP Scan popped a message that an Outlook Profile needed to be added to Mail to use Outlook (Control Panel > icon view > Mail (Outlook)
  • Set that up - no problems - Microsoft Outlook sent a test message.
  • Run HP Scan > "Email as PDF" > Scanned content > Send > HP Scan opened Outlook > entered a recipient and a short test message > Send
  • Oddly (not really) - no test message received by the recipient.
  • Opened the Outlook app on the Windows 11 system >>> the little test message was languishing in the Outbox.
  • Opening the Outlook app kicked the "Send / Receive" action -- the message - no longer trapped in the Outbox - was sent on its way.
  • Checked the Outlook "Sent" folder - "nothing to see"
  • Opened the same mail account used to send the test in a different mailer (this time in FF browser)
  • The "Sent" folder is populated by this test message and previous tests of a similar type.
  • Checked the recipient mail - Test arrived, including attached scan content and the test message.

 

So, this works but (at least for me), the process seems awkward and odd.

I could be "doing it wrong".  Meh.

Try / Consider

First

Add the sender address to Windows Mail

Next

HP Smart > Scan > Optionally Edit - Done > Share > Select Mail >

Create Message > Enter Recipients > Send to mail recipients, CC / BCC as needed
