I've been trying to get Scan to Network Folder working for HOURS with no success.


I can connect to the folder shares from other computers on my home network just fine.
I've tried using both a \\hostname\ and \\ip\ approach to the UNC.
I've made sure the timezone and time of the printer are sync'd to the computer and match.
I've tried anonymous access on the folder shares
I even tried the MAC fix of setting the printer time to the GMT equivalent of the PC time that is suggested in many of the forums for MAC.


EVERY attempt results in this error:
"Network error. Check the printer's network connection and try again."


I've read HOURS of forum posts to no avail.

Help Please...

Setting up Scan to Network Folder on an HP OfficeJet Pro 9025e can be tricky. Below are some steps and troubleshooting tips to help you resolve the issue.

 

Verify Network and Folder Permissions

Check Printer Network Connection:

  • Ensure the printer is connected to the same network as your Windows 11 computer.
  • You can verify this by printing a network configuration page from the printer's control panel.

Share the Folder Properly:

  • Right-click the folder and select Properties > Sharing > Advanced Sharing.
  • Check Share this folder and click Permissions.
  • Add the user account or choose "Everyone" and assign Read/Write permissions.

Firewall Settings:

  • Ensure your Windows Firewall allows File and Printer Sharing (SMB protocol). Add exceptions for the printer's IP address if needed.

Configure the Scan to Network Folder on Printer's Embedded Web Server (EWS)

Access the EWS:

  • Find your printer's IP address by printing a network configuration report or checking the printer’s control panel.
  • Open a web browser and enter the printer's IP address in the URL bar.

Set Up Network Folder:

  • Go to the Scan tab and select Network Folder Setup.
  • Add a new folder by providing:
    • Folder Path: Use the UNC path (e.g., \\hostname\sharedfolder or \\192.168.1.xxx\sharedfolder).
    • Username and Password: Use the credentials of a Windows user account with permissions to access the folder.

Save and Test:

  • Save the settings and test the connection directly from the EWS interface.

Verify Printer’s SMB Compatibility

  1. Ensure SMB Version Compatibility:
    • Windows 11 defaults to using SMBv2 or SMBv3. Ensure your printer supports SMBv2 or higher.
    • If your printer supports only SMBv1, you’ll need to enable SMBv1 on your Windows system:
      • Open Control Panel > Programs > Turn Windows Features On or Off.
      • Check SMB 1.0/CIFS File Sharing Support and restart your computer.

Synchronize Time and Date

Set Time and Date:

  • Ensure both the printer and computer are using the same time zone and date format.
  • Set them manually if needed, or configure the printer to sync with an NTP server.

Use GMT Fix (if suggested in forums):

  • If your printer timezone is GMT-based, calculate the equivalent time and set it manually.

Advanced Troubleshooting

Check Logs on the Printer:

  • Many printers have an option to enable logging for network events. Check these logs for more details on the error.

Test with Another Shared Folder:

  • Create a new shared folder with minimal permissions to rule out folder-specific issues.

Restart All Devices:

  • Restart your printer, router, and computer to clear potential network conflicts.

Update Firmware:

  • Ensure your printer firmware is up-to-date. You can check for updates via the printer’s control panel or EWS.

Still Not Working?

If you continue to face the issue, consider resetting the printer to factory settings and reconfiguring everything from scratch. This can resolve any hidden misconfigurations.
