Hi, when I try to scan on my HP OfficeJet Pro 9025 printer/scanner, I get the message “Username or password is incorrect.  Make sure both user account and password are valid.”  I don’t know what this is talking about, as I am trying to scan to a working email address and I get this message no matter what email I am trying to scan to.  Please help!

Try these steps:

Check Email Configuration:

  • Ensure the email settings are correctly entered in your printer's Email Setup. This includes the correct email address, server settings, and password.

Verify SMTP Settings:

  • Access the HP Embedded Web Server (EWS):
    • Open a web browser and enter your printer's IP address to access the EWS.
  • Navigate to the "Scan" tab and select "Scan to Email".
  • Verify the SMTP server settings (e.g., smtp.gmail.com for Gmail) and ensure the correct port number (usually 587 or 465).

Update Authentication Credentials:

  • Ensure the username is the full email address (e.g., user@example.com).
  • Verify the password is entered correctly. If you recently changed your email password, update it in the printer settings.

Enable Less Secure Apps (If applicable):

  • For Gmail accounts, you may need to allow less secure apps to access your email:
    • Log in to your Google Account.
    • Navigate to "Security" > "Less secure app access" and enable the setting.

Steps to Setup or Modify Scan to Email Service:

Access EWS to Configure Scan to Email:

  • Type your printer's IP address into a web browser to access the Embedded Web Server (EWS).
  • Select "Scan" and then "Scan to Email" from the EWS dashboard.

Configure Email Settings:

  • Enter the correct "Sender Email Address".
  • Enter the SMTP server and port number. (Example for Gmail: smtp.gmail.com, Port: 587)
  • Enter your email login credentials (complete email address as username and the corresponding password).

Test Configuration:

  • After entering the details, click "Test" to ensure the settings are working correctly.
  • Save the configuration once the test is successful.
