HP Officejet Pro 6970 and Outlook 2016
Microsoft Windows 10 (64-bit)

Hi, I cannot download the Outlook App from the Microsoft Store because it comes as part of my Office package.  The Printer automatically allows mail which I do not use.  How can I set it up to use Outlook 2016 when scanning to email.

Thank you.

Thank you for being a part of HP Forums,

It'll be an honor to guide you through the steps needed to identify your concern and/or address your query.

Have you attempted to change the default programs? If not here's what you need to know:

There are two ways of setting the Outlook Email app as your default and here's how it works:

  1. Open Outlook.

  2. On the File tab, choose Options > General.

  3. Under Startup options, select the Make Outlook the default program for E-mail, Contacts, and Calendar check box.

  4. Click OK.

OR

1.    Open the Control Panel:

2.    In the Control Panel dialog box, in the Search Control Panel textbox, enter Default and choose Default Programs:

3.    On the next screen, click Associate a File Type or Protocol with a program link:

4.    On the Associate a file type or protocol with a specific program screen, scroll down the list until you find Protocols:

5.    Under Protocols, choose MAILTO and then double-click it:

6.    Choose the client you prefer:

7.    Click OK.

Let me know how that pans out

I will have a colleague follow-up on this to ensure it's taken care off, in case you don't respond in the next 24-48hrs,

As I need to know if the issue has been resolved, to get proper sleep at night.

Feel free to give me a virtual high-five by clicking the 'Thumbs Up' icon,

Followed by clicking on 'Accepted as Solution' as it would help the community gain more knowledge and have a great day Ahead!

Hi Riddle_Decipher,  Thank you for trying but those solutions did not work.  I checked and already Outlook was my default in both cases but just to be sure I followed the steps and then restarted my machine.  I then tried to scan to email.  It only had again MAIL as the default programme.  Outlook doesn't come up as an APP choice on the HP Printer.

Thank you for responding,

This is the Riddle_Decipher, again!

(we are in this together, so bear with me as we go through a few more steps and resolve the issue)

I'm glad you've gone through the suggested steps, and since it didn't work I have a few more suggestions that should:

Let's start with ensuring the default app is set to outlook, it should look like this:

Simply, Type default apps under the windows search as select - "Default app settings",

Once confirmed, you may open the HP Scan App and select Scan to JPEG, click on Send > This should ask you if you want to create a profile on the outlook, Select Create a new profile > Set up a new outlook profile and then check if it works fine.

Keep us posted,

(We shall troubleshoot as a team, fight till the end and emerge - "victorious")

Hi, yes OUTLOOK is the default app and shows up just as you mention to me.  However, go into the printer and selecting either JPEG or otherwise gets you MAIL (not Outlook but Windows Mail Programme).  I think the issue might be a little more complex and to do with what appears two mail programmes of Outlook 1 I purchased some time ago 2016 Outlook Mail and another that comes with Office 365 so it might take me working through to ensure only one Outlook is picked.  I'm still not sure why at least one of them doesn't appear in the choices - I get MAIL and ONENOTE!  Thanks for your help sofar.  I also have the same issue on my husband's computer and he is not running Office 365 but an earlier Office and he has the exact same printer.  Cannot see outlook even though it is the default mail programme.

Thank you for replying with this detailed response,

I appreciate your time and efforts,

So I looked around and to avoid the confusion between the two Microsoft Office programs, if you don't wish to remove the other, here's what you need to do:

A deep dive into assigning the file types to the Microsoft Outlook 2016: CLICK HERE TO FIND THE LIST OF FILE TYPES.

(The above link is 3rd party and is not owned by HP, I've posted this only so that I may help you resolve this issue by going beyond my support boundaries, please ignore the ads and take only the free suggestions)

Once you have the list, simply go through the "Choose default apps by file type" using the windows search bar.

And select outlook 2016 for each file type and that should resolve the issue.

I hope that answers your query,

If it did, simply select "Accept as solution", to help the community grow,

And if you wish to thank us for our efforts, click on the thumbs up for kudos.

Have a great day ahead.

Hi Riddle_Decipher,  Thank you for all your help.  :generic:

This problem has got beyond your scope and I appreciate you trying to help me.  The issue appears after following your instructions, that have been spot on all the way,   Microsoft Windows 10 will not let me change the default in two instances from MAIL even though I have selected at every point I can OUTLOOK.  I am going to follow up with the Windows Forum on this and let you have some sleep.

Many thanks,  Suzieque2000

Thank you for the update,

I appreciate your time and efforts,

I don't want to give up just yet, although I'm glad to have been interacting with a gentle soul such as yourself,

And I suggest you remove one of the two MS Office versions and then check if it works, or as you mentioned, check with the MS Forums and get back to me with the results as I'll be glad to know it's working after all the hard work we've put into this.

Normally, the steps suggested would have worked, this seems to be one of those weird issues, but there's nothing that can't be solved,

Keep me posted and have a great day ahead.
