My staff sent me this ticket and I need help resolving it.

 

When she sets up the printer at her desk for the parameters the jobs, the printer itself is not
retaining the parameters for that job.

 

( She is printer from Publisher a layout for seedling choices. She is printing 3 files on cardstock that use the same printer property settings.)

 

She has to go to the printer and select from the pop up menu and tell it to use card stock for each print job and which tray to use.

 

Is there a way that it would print all 3 pages without end user having to be at the printer to release all 3?

Either your trays are misconfigured or there currently are not any trays loaded with cardstock.  The jobs are being sent to the printer as paper type cardstock.  When the printer searches the trays it is not finding any that match the job parameters.  This forces the printer to ask the next user to intervene and confirm which tray should be used.  If a tray should be configured as cardstock then review the settings and confirm they match up.

If you are asking about batch printing then that is a seperate problem.  The printer will release jobs as you have configured it to do.  Jobs can have one or multiple documents or pages attached to them.  It all depends on what you are planing on sending to the printer.

 

I'm betting once you resolve the paper tray problem your jobs will match up and print off like expected.  Work on that part first and confirm any persistant issues with batch printing from there.

Paper trays are normally something the administrators want users to have control over.  That control can be a double edged sword as users can very easily misalign the paper tabs or select the wrong paper type as may of have happened here.

 

To lock down this feature you would have to lock down user acccess to the control panel.  There should be a few ways to do this on the control panel itself, via hardware modifications such as installing a screen or disabling the control panel connection or via a utility like WebJet Admin.  Pending on what it is you want users to do you can find a way that works best for you in this scenario.

 

What works best for me is to find and label someone as the "expert" or "primary contact" for that printer.  We print little contact cards and stick them next to the printer as a first line of defense.  Train up the contact on what the printer settigns should be and have them investigate for you when there are tray misconfiguration issues.  Settings like Paper Type and be configured remotely but settings like Paper Size have to be configured with the physical printer tabs on most HP laserjets.  Some physical intervention is normally required.  This way you dont get people jockying over the currently loaded paper types and sizes too often and give the users a chance to work it out amongst themselves.  You can configure manual feed trays for high customization areas.

 

Configuring the applications and drivers with customizations is another issue we can explore if you like.  But users will always get prompted if there is not a matching tray to recieve the requested print job.

Thanks John, Let me use as an example of a print job. Once every month they print a calendar on card-stock and want to have it pull from tray 2. Tray 2 is loaded with card-stock. How would I save those setings in order for them to use them every month?

One way would be to lock the tray itself from the control panel of the printer to always use cardstock.  You can lock the tray settings by removing guest access to the control panel for this feature.  I dont have a M577 but do have a M575 so the process should be similar.

 

To disable tray access on HP laserJet m575:

1. Sign into the EWS (Embedded Web Server)

2. Navigate to Security > Access Control

3. Expand Trays under the Sign in and Permission Policies area

4. Uncheck the Device Guest access checkbox under abillity to modify the tray size and type settings

 

Search around and play with these settings if they are available on your printer.  Once you remove guest access to modify this setting an administrator or a full signed in user will be necessary to adjust it.  Not sure if you have authenticated users in your scenario or not so you may have to consider removing device user access too.
