Hello,

I'm trying to create a PDF of a document that is in 6 by 9 inch trim size, but the PDF keeps printing as 8.5 by 11. Can you please explain to me how I can change that? I'm using a HP printer and PC, and have Microsoft Office 365 installed.

Thank you for posting your query, I will be glad to help you. 
To ensure your PDF prints at the correct 6 by 9 inch trim size instead of defaulting to 8.5 by 11 inches, you'll need to adjust both the document size and the PDF export settings. Here's how to do it using Microsoft Word (Office 365) and an HP printer:

 

Set the Document Size in Word

  1. Open your document in Microsoft Word.
  2. Go to the Layout tab (or Page Layout).
  3. Click on Size > More Paper Sizes.
  4. In the Paper tab:
    • Set Width to 6 inches
    • Set Height to 9 inches
  5. Click OK.

Export to PDF with Correct Size

  1. Click File > Save As or Export.
  2. Choose PDF as the file type.
  3. Click Options (before saving):
    • Ensure "Document showing markup" is unchecked (if not needed).
    • Make sure "PDF/A compliant" is unchecked unless required.
  4. Save the file.

Print PDF with Correct Settings

  1. Open the PDF in Adobe Acrobat Reader or your preferred PDF viewer.
  2. Go to File > Print.
  3. Select your HP printer.
  4. Under Page Sizing & Handling:
    • Choose "Actual size" (not "Fit" or "Shrink").
    • Ensure paper source is set to a tray that supports 6x9 paper (if printing on actual 6x9 paper).
  5. Click Properties or Preferences (next to printer name):
    • Set Paper Size to 6x9 inches (you may need to create a custom size if it's not listed).
  6. Click OK and then Print.

If 6x9 Paper Is Not Available in Printer Settings

You can create a custom paper size in Windows:

  1. Go to Control Panel > Devices and Printers.
  2. Right-click your HP printer > Printing Preferences.
  3. Look for Custom Paper Size or Advanced Settings.
  4. Add a new size: 6 inches by 9 inches.
  5. Save and use this size when printing.
