We are using hp mfps with fax capability and was told that the printers need to have generic accounts built in order to use the fax capability with the fax service we went with and want to check to see if that was true. We would personally not prefer to have some many accounts

I am not at all sure I understand the question.  The answer reflects what I believe you are asking.

 

Fax service company dictates how they provide their service.

 

If the Fax Service with whom you have a contract / subscription requires each printer using the service to have an account, then - well, there you go - You need to have the printer set up with an account.

 

 

 

What if?

If your business requires it, or if you cannot provide the necessary connection to the phone line, you might need (or want) to make use of a "Fax Service".

 

If you tend to receive faxes at all hours and your printer does not support "receive to email" (to keep the fax from running interrupting your sleep hours), you may want to make use of a Fax Service.

 

Fax on the printer

 

Many printers provide copy/scan/print and fax as part of the feature sets built into the printer.

 

Assuming your printer provides the fax feature, the User Guide for your printer will provide the "how-to" setup and procedures used with Fax.  In fact, there is usually an entire Chapter dedicated to Fax (frequently "Chapter 5") and there are usually extra bits of information for setups and troubleshooting fax.

  • Fax is not a "service" for which you must pay or have accounts with a fax service provider - fax is a feature function of the printer. 
  • There is no generic account required to use Fax on the printer.

 

Setup is required to send / receive faxes

  • You need to set up your "receiving" fax (phone) number in Fax setup along with the Country/Region.
  • You need to input some kind of Name/Company Name of your choice.
  • Many printers still require a standard "landline" configuration (two-line phone cord connecting printer/fax to a phone line outlet in the wall).
  • Other settings help with the actual process of sending / receiving faxes.

We are saving the faxes to a network share. So when a user sends a fax the reply comes to their email. it fails if we remove the username and password. Under LAN FAX we selected the first option for the network share. we put the info in and it works if we remove the username/password it fails

I can offer the following:

 

Network share, if it is a network folder destination - for example, a folder destination on a computer or on a NAS  Network-Attached-Storage) - has a number of requirements to allow data to be added to the destination.

 

For example The destination must be "Shared"

The folder (destination) is either Read/Write without any security (R/W for all)

OR

The user (person receiving the fax) has a login User-ID and password to allow that user access to the computer/folder/destination.

 

 

If the Network share is an email, then the usual email security applies - email does not allow "just anyone" to send / receive email to / from the email account.  One must provide the User-ID (email account name) and the password to the email account.

 

For those reading:

If the printer supports HP Digital Fax, the setup can be completed using the Embedded Web Server (EWS)

 

Example

Open your favorite browser > type / enter Printer IP address into URL / Address bar

Tab Fax > HP Digital Fax > Digital Fax Profile
