I tried to setup scan to email using a **bleep** account, (I followed these instructions https://support.hp.com/us-en/document/c03862727 )

This feature kept failing at authentication credentials.

After many attempts, I found a forum answer that, could have fixed the issue if we were living before 2022.

The solution is to allow **bleep** to accept less secure apps to authenticate. Google removed this feature in 2022.

Can you please let me know how to proceed?

The official documentation available is not addressing any new security issues, nor does it cover this feature well enough. The official documentation should be getting updated more frequently.

This is a very basic feature for a wireless printer. I'm very disappointed with the issues I'm facing.

 

PS: Wherever you see ***bleep*** replace with the free email solution from Google. I'm not sure why the forum platform removes that product name. Very strange.

You simply enter the app password as the password instead of the password normally associated with your user name.

Please generate and use an App Password, this should allow the printer to connect to **bleep** using SMTP:

Thank you for the reply and the link to creating app passwords.

Could you please point me to the instructions on how to use the app password in the printer interface?

I tested the scan to email setting and it still fails. It doesn't ask for a password. I'm totally not clear how all this works.

Thank you !! That solved the issue of successfully setting up and testing it via the web admin app.

 

BUT sadly when I go to the printer, to test the feature, at Sign in, the PIN I setup in the profile I created during the scan to email setup doesn't work. Does it take for the PIN to propagate to the printer?

I'm adding this here, in case someone else has the same issue on the printer Sign In, when they click on it.

 

- Go back to the printer web interface, from your computer. 

- Go  to settings/security/access control. At the bottom add a user printer account with a PIN/access code. And click on "Allow users to choose alternate sign-in methods" (I'm not specific with the location of these things on the screen as each printer has a different admin interface).

- Save this information.

- Go to the printer and when asked to sign-in, use the user PIN you set up above. 

 

So in summary, to set up Scan to email, using an email from a company like Google, you need to:

START

1. Setup two factor authentication in your Google account (follow https://support.google.com/accounts/answer/185833?hl=en)

2. Setup an app password (follow same instructions as above or find a recent video as finding the app password link is not easy to find)

3. Go to your printers web interface admin page, using the instructions here: https://support.hp.com/us-en/document/c03862727 BUT where ever you see a password field, it's not referring to your email password but the app password you set up in step 2.

4. Test the feature from the admin interface.

5. On the printer, try to sign in. If you fail to input the right PIN, this is what I did:

- Go back to the printer web interface, from your computer. 

- Go  to settings/security/access control. At the bottom add a user printer account with a PIN/access code. And click on "Allow users to choose alternate sign-in methods" (I'm not specific with the location of these things on the screen as each printer has a different admin interface).

- Save this information.

I admit this has not been a good experience. The printer documentation is old, and looking across all the forum and videos, it really isn't a satisfying experience as the information is dispersed, and one has to put it together here and there.
