Can an admin gain Access to other users files from their computer or iPhone?

In general, yes.

 

Administrators generally have access to the reachable data and files of other users on the same device where the administrator is logged in.

 

This is one of the main reasons to limit who has an administrator account on the computer -- the administrator must be trusted to maintain the system and all data on that system.

 

In a work environment, this access can extend beyond local machines and provide access to IT administrators across devices and networks.  This is considered normal -- IT is responsible for system and network security.

Thank you for the quick reply. So if I have admin rights to my printer and add a second user, I could somehow access that users files from their iPhone or computer by them simply joining my printer as a user?  There is not a network computer this printer is attached to.  It’s setup as a wireless printer and I wanted my roommate to have access to the HP Smart app to make printing photos easier.

Using a printer is not the same as general administrator account access to a user's files and data as described in my first post.  Some of the elements overlap but there are different considerations. 

 

For example -- Unless you are parenting a child or person who cannot manage their own data, sharing your account on the computer or forcing someone else to share their private data with you is not something I advocate.

 

If you give your room mate the wireless password to your network, and the room mate is using a mobile device that supports it, the room mate can install the HP Smart application on their computer / tablet / phone and access the printer.

 

If the room mate has a computer - and depending on the printer model and the Operating System / version, the user can install the HP Smart for Windows application and the  Full Feature Software.

 

"Joining you on your computer" generally OK as long as the user also has access to an HP Account.

 

In general, each separate person / user should have their own HP Account to protect privacy.

In practice, if you want to give your room mate access to your email and your HP account credentials, that is up to you.

 

What is shared:

 

Applications and software installed on the computer can generally be accessed by those who have an account on the computer.

 

For example, if I install the printer and its full driver printer software on the computer, another user with their own account on the computer can also use that network printer.

 

If the person has access to the network password, they can use their mobile device(s) (tablet / phone) to sign into the network and access the network printer.

 

Folders on a computer can be "Shared" - that is, left "open" so "everybody" has read and write access.    For example, if you have desire to share content that is scanned, save the results in the "Shared" folder so others can see and use the file(s).

 

Private parts of any application or software should be separated -- hence the suggestion that each person using the printer has their own HP Account, their own email, and their own Cloud accounts (for using Shortcuts in HP Smart).
