I am trying to change the name of our printers. Currently they were setup incorrectly and when I try to change the name, all I can change is the hostname which doesn't change it for everyone and doesn't allow for capitalization. How do I change the actual printer name?

Method 1: Using Windows Print Management

Open Print Management:

  • Press Win + R, type printmanagement.msc, and press Enter.

Locate Your Printer:

  • In the Print Management window, navigate to Print Servers > [Your Print Server] > Printers.
  • Find your printer in the list.

Rename the Printer:

  • Right-click on your printer and select Properties.
  • In the General tab, you can change the Name field to whatever you want.

Method 2: Using the Printer's Web Interface

Access the Printer's Web Interface:

  • Open a web browser and enter the printer's IP address in the address bar (you can find the IP address on the printer's control panel under network settings).

Log In:

  • Enter the admin credentials to log in (default credentials are often admin/admin or admin with no password, but these might have been changed for security).

Change the Printer Name:

  • Navigate to the Networking or Network Settings section.
  • Look for a setting related to the printer name (often under TCP/IP settings or Bonjour settings).
  • Change the name as desired and save the settings.

Method 3: Using HP Printer Assistant (Windows)

Open HP Printer Assistant:

  • Search for HP Printer Assistant in the Windows start menu and open it.

Access Printer Management:

  • Select Utilities or Tools.
  • Choose Printer Setup & Software.

Change the Printer Name:

  • Follow the on-screen instructions to change the printer name.

Method 4: Using MacOS

Open System Preferences:

  • Click on the Apple menu and choose System Preferences.

Open Printers & Scanners:

  • Click on Printers & Scanners.

Rename the Printer:

  • Select your printer from the list on the left.
  • Click on Options & Supplies.
  • In the General tab, you can change the Name field to the desired name.

Additional Tips

Updating Printer Drivers:

  • Make sure your printer drivers are up-to-date, as some drivers might not support all features.

Check Network Permissions:

  • Ensure you have the necessary network permissions to change printer settings, especially in a company environment.

Restart Devices:

  • After changing the printer name, it might be necessary to restart the printer and/or your computer to apply the changes fully.
