Hi @GaryNM

Welcome to the HP Support Community! We're here to help you get back up and running.

I truly appreciate the effort you’ve already put into setting up Scan to Email and Scan to Cloud on your HP Color LaserJet Pro MFP 3301.

It can feel frustrating when the scanned files don’t arrive where you expect them, so let’s walk through a clear set of steps to help you get this working smoothly.

Step-by-step guidance

1. Verify network connection

  • Make sure the printer is connected to a stable network with internet access.
  • If using Wi-Fi, confirm the signal strength is strong.

2. Access the Embedded Web Server (EWS)

  • On your computer, open a browser and type the printer’s IP address in the address bar.
  • This will open the printer’s EWS page where you can configure scan settings.

3. Configure Scan to Email

  • In the EWS, go to the “Scan” or “Email Setup” section.
  • Create a new email profile: enter the sender’s email address, SMTP server name, port number, and authentication details.
  • If using Gmail or Outlook, you may need to generate an app password and use that instead of your regular email password.
  • Save the profile and test by sending a small scan to your own email.

4. Configure Scan to Cloud

  • In the EWS, look for “Scan to Cloud” or “Cloud Setup.”
  • Sign in with the account you want to use (Google Drive, OneDrive, Dropbox, etc.).
  • Allow permissions when prompted.
  • Once linked, try scanning a simple document and check if it appears in your cloud folder.

5. Check authentication and security settings

  • Ensure SSL/TLS is enabled if your email provider requires it.
  • Double-check that the username and password entered match the email account credentials.

6. Test with smaller scans

  • Sometimes large files fail to send. Start with a single-page scan to confirm the setup works.

7. Review error messages on the printer panel

  • If the printer shows any error codes, note them down. They often point directly to the cause (e.g., wrong SMTP port, failed login).

This process should help bring your scanned files to life in your inbox or cloud storage. Since you’ve already tried setting things up, I want to acknowledge your persistence—it shows real determination.

If you carefully follow these steps, you’ll likely see your scanned documents flowing through without interruption.

We're looking forward to helping you get back up and running!

Regards,

Hawks_Eye
