Even if the email is correct this message keeps appearing when trying to send a scan email via smtp

To resolve the issue of invalid recipient addresses when sending a scan email via SMTP, follow these steps to ensure the configuration is correctly set up:

 

Access the HP Embedded Web Server (EWS):

  • From the Home screen on the printer control panel, touch the Information icon and then touch the Network icon to display the IP address or host name.
  • Open a web browser, and in the address line, type the IP address or host name exactly as it displays on the printer control panel. Press the Enter key on your keyboard to open the EWS.

Go to TCP/IP Settings:

  • Using the EWS top navigation tabs, click Networking.
  • In the left navigation pane, click TCP/IP Settings.
  • On the TCP/IP Settings dialog, click the Network Identification tab.
  • Verify that the DNS suffix for the email client being used is listed. DNS suffixes should have this format: companyname.com, gmail.com, etc.
  • Click Apply and OK.

Configure the Email Settings:

  • Select the Scan/Digital Send tab.
  • In the left navigation pane, click Email Setup.
  • Ensure the "Enable Scan to Email" check box is selected so the feature is available at the printer control panel.

Add Outgoing Email Servers:

  • In the Outgoing Email Servers (SMTP) area, click Add to start the SMTP wizard.
  • Enter the SMTP server address or host name (e.g., smtp.gmail.com for Gmail).
  • Enter the Port Number (typically 465, 587, or other server-specific values).
  • Select the Enable SMTP SSL Protocol check box if SSL is necessary for your server.

Server Authentication Requirements:

  • Enter the authentication details. Select Server requires authentication and provide the necessary credentials (username and password).

Verify Recipient Email Addresses

Address Format Checks:

  • Ensure email addresses do not contain spaces, special characters, or more than one @ symbol.
  • Confirm using proper email formats (e.g., user@domain.com).

Allow Invalid Email Address Formats:

  • If supported, configure email settings to allow invalid email address formats by selecting this option.

Testing Email Setup:

  • Send a test email to a valid address via the EWS setup to confirm the settings.
