The printer doesn't care which email address you use.

That said, if you are using Scan-to-Email profile on the printer,

You do have to be able to set up the mailing parameters (IMAP / SMTP information)

 

Mail access setup is not in the printer's control to the extent that the mail agent (Cox) decides whether the access is granted.

 

Cox - Email Server Settings 

 

If you are using a business address, know that many business mail servers will block email from an unknown source.  This might include Scan-to-Email because the throughput is handled by an intermediate server.  Business mail servers are generally configured to block "machine generated" mail and "anything" they don't like.  Talk to your IT department - there is no "fix" on the printer side for mail that is outright refused by the recipient server.

 

Private (not corporate) mail services (For example, gmail / AT&T home mail) typically don't care as much what you do to yourself and will allow this kind of profile.  You might (will likely) have to set your mail service security to allow the access, but beyond that, you are kind of "on your own" as far as what you allow into your mail Inbox.

Example - Gmail address - Printer supports "Digital Send" - Scan to Email

 

Open your favorite browser > type / enter Printer IP address into URL / Address bar

Tab Scan > Scan to Email >  Settings / Scan to Email Setup

What else?

 

Scan to Email using HP Smart (for example) uses Cloud Services but is not set up using EWS (Embedded Web Server).

 

In this case, add your email address to Windows Mail.

After you scan the image or pdf document, instead of using "Save", use "Share".

HP Smart (now) requires that you sign into your HP Account to use the HP Smart application.
