Hi @PowerFoundation ,
Welcome to The HP Support Community.
Thank you for posting your query, I will be glad to help you.
To restrict access to your HP Color LaserJet Pro MFP M183fw printer, you can use several methods depending on your network setup and specific needs. Here are some common approaches:
Set Up User Access Control (UAC)
- Access Control Lists (ACLs): Configure ACLs on your router or network to limit which devices or users can access the printer. This can be done by blocking certain IP addresses or MAC addresses from accessing the printer's IP.
- Authentication: Some printers allow you to set up user authentication, requiring a username and password to access the printer. Check your printer’s Embedded Web Server (EWS) for security settings.
- Account Codes or PINs: If the printer supports it, you can set up account codes or PINs that users need to enter before they can print.
Restricting Access via the Embedded Web Server (EWS)
- Access the EWS:
- Find the printer's IP address (you can usually find this on the printer's display under network settings).
- Open a web browser and enter the printer's IP address into the address bar. This will open the Embedded Web Server (EWS).
- Login:
- If prompted, log in with the administrator username and password.
- Set Up Security Settings:
- Navigate to the Security tab or section.
- You may find options for setting up user accounts, PINs, or passwords.
- Configure settings to require authentication for printing.
Use a Print Server or Dedicated Software
- Print Server: If your network uses a print server, you can configure permissions on the server to restrict which users can access the printer.
Control Access through Windows Group Policy (For Windows Environments)
- If you're in a Windows networked environment, you can use Group Policy to restrict access to the printer:
- Open Group Policy Management on the domain controller.
- Create a new policy or edit an existing one.
- Navigate to User Configuration > Preferences > Control Panel Settings > Printers.
- Configure the printer settings to only allow specific users or groups access to the printer.
MAC Address Filtering on the Router
- If the printer is connected wirelessly, you can enable MAC address filtering on your router and only allow specific devices to connect to the network. This would prevent unauthorized users from accessing the printer.
Disable or Limit Wireless Direct Printing
- If your printer supports Wireless Direct (Wi-Fi Direct), you may want to disable it or limit its use. Wireless Direct allows devices to connect directly to the printer without needing to be on the same network.

I hope this helps.
Take care and have a good day.
