I have an M775 color printer deployed in my domain and have set up security PINs for users. According to policies that I configured:

Ordinary users can only print B/W.

Admins can print Color.

 

in practice whoever sends a print job to printer can only print B/W. I checked print preferences and "Print in greyscale" is turned off. Other options for printing in B/W are either turned off or switched to color mode. Nevertheless I can't make it print any color.

 

Another Issue is that whenever a stored print job is printed it will remain in job storage. Is there any way to auto-delete printed jobs?

 

Another issue is that very often people print one copy but get 2 or more copies. Andy ideas on fix?

 

I am using latest HP drivers and software on printer is also updated to latest one.

I am using custom codes. System generates 5 digit pin so I shorten it to 4. (can that be an issue?)

By policies I mean security profiles. Standard users cannot print in color, admins can, standard users cannot print from USB, admins can etc. Rules that you setup in Security > Access Control.

 

This is a brand new printer. It printed lots of test or setup pages upon initial run in color. It sometimes prints in color when for example I make a brand new excel file and write some color text in cells but that is very situational. For example yesterday it didn't print in color from word document... My idea was that printer driver was a mess but I've downloaded that driver from HP support page...

Under driver option color is checked.

So personal job right? I think I  set up with stored job. I'll check that one.

Are you using the built in pin codes and setting up users in the printer itself. You state you have set up policies, can you elaborate on that please.

 

Couple things to check:

 

Did the printer print in color before you started using pins? If not it is possible that when installed, the fact that the printer was color may not have set and you will need to check the driver to ensure that under installable options the device type is either auto or color. As for the jobs not being deleted, likely you have the users selecting the wrong storage option. Correct option is personal job if they want to print once and have it deleted. You can also configure the printer to purge jobs automatically after X number of days.

Multiple copies is likely a fast finger user error.

Figured out how to solve my problem. Rolled back the firmware version of printer and updated it to latest one anew.

Stopped using windows print server and directly connected printer to client PCs.

Also very important: used HP driver to manually point to it from Printer settings. Otherwise MS will install some default PCL6 driver and it wont print in color for configured user groups.

As for jobs not being deleted after printing I followed suggestion above and switched "stored job" to "personal job" in printer preferences.
